Minimum Education:

Eighteen months of education or training beyond high school or equivalent.

Preferred Education:

Associate's degree

Minimum Experience:

Over one through three years of office or related experience.

Preferred Experience:

Experience in an academic office; supervisory experience.

Duties and Responsibilities:

  • Act as liaison for the office and the Director when necessary; provide support for the Director which includes but not limited to: implementing the vision and mission of OTES; representing the office when needed.
  • Actively maintain OTES-CP website and social media material with weekly interaction and review highlighting students, staff, faculty, and/or school partners.
  • Meet weekly with staff overall to address needs, coordinate resources, and provide specific administrative oversight to the field experience coordinator, secretary, and student worker. The Office Coordinator acts as the back up in absence of other staff.
  • Back up receptionist; greet clients; dispense materials; direct to other areas; sort and distribute mail.
  • Coordinate all university supervisor meetings, trainings, and materials; ensure appropriate hiring, distribution of correspondence, and submission of materials; maintain university supervisor personnel records.
  • Orient and train staff; make recommendations as to interviewing and selection, performance appraisal, and discipline; hire, train and schedule students in office; monitor time sheets for office.
  • Work with the OTES-CP director to prepare budgetary figures, reports, and monthly review.
  • Prepare and process appropriate payments to mentor teachers within the early field and student teaching courses. Process all Sci-quest orders for the payment of mentor teachers; collect W-9s through Ball State's secure system, review and ensure accuracy in the assignment of such stipends.
  • Verify/confirm each student teacher's course registration prior to preparing class size reports and assigning section numbers for each; make corrections in course registration; monitor class lists to ensure student teachers are not dropped due to late payment of fees; work with students and Bursar's Office to rectify problems; enter pre-requirement override permission in Banner for candidates attempting to register for student teaching.
  • Prepare course transfers for all student teachers, transferring each student from Section 01 to the section number assigned when preparing class size report for class lists/university supervisors; check all mid-term and final class lists; make corrections/additions prior to distribution.
  • Maintain student teacher handouts, as well as university supervisor and program manager Canvas Communities.
  • Coordinate special events for department; including student teaching orientation, mentor teacher workshops, PDS work, and office meetings; take minutes, maintain accurate records, and follow up as needed.
  • Stay current on university systems and issues involving staff and office operations; train, and advise OTES-CP Staff.
  • Perform other related duties as assigned.
  • Maintain regular and predictable attendance.
