Performs support-oriented job duties to a Department Head or Manager. Duties are complex and of an advanced nature. Assuming day-to-day responsibility for coordinating and performing specialized clerical functions. Assess office procedures and makes necessary changes in order to improve office function.  Oversees room/office assignments, room reservations and bookings. Maintains travel and financial records. Creates and maintains tracking system of all SoM non-IT expenditures. Reviews and responds to office correspondence or drafting replies to complex correspondence. Receives incoming calls for office personnel and refers call to appropriate personnel. Answers questions, providing information and handling complaints for internal and external customers: Connects with prospective students, schedules visits and events and is the primary contact for the School of Meteorology, other NWC and OU entities, and the outside public. First person to field questions and complaints in the form of phone calls, visitors, and email.  Monitors and orders office supplies. Enters vouches, coat transfers, and requisitions using the PeopleSoft Financial System. May sign outside forms as authorized by the supervisor: Places orders for all SoM Non- IT related purchases, handles shipping/mail for SoM & CAPS. Planning and coordinating special projects and activities. Scheduling appointments, ensures administrative details are completed, and makes travel arrangements. Arranges food, travel, and accommodations for colloquiums, faculty searches, and other guest visitors. Books undergraduate student travel to conferences. Performs statistical business research: cost comparisons, ensures charges hit the right accounts, conducts financial research on SoM funds, and numerous other requests from faculty and staff.  Assists the Payroll Coordinator by providing oversight. Enters ePAFs. Maintains budgetary records for P-Card, Vouchers, POs, Non-IT supplies, and reviews billing from vendors.  Assists with budget preparation of SoMs budget. Performs other related duties as assigned.

Duties:

  • Maintaining files that may be of a confidential nature such as patient or personnel information.
  • Managing inventory.
  • Typing, preparing reports and correspondence, distributing information.
  • Conducting research and computation.
  • Assisting with budget preparation.
  • Resource to other support personnel.  
  • Records messages or responds to caller with routine information.  
  • Prepares various reports such as office supply expenditures and student or resident rotation schedules.
  • Distributes various forms of information to office personnel such as mail or newsletters.  
  • Performs statistical, business research, and routine computations that require knowledge of mathematics. 
  • Calculates service costs and issues service contracts for on and off campus vendors. 
  • May assume responsibility for training, assigning and checking work of subordinates. 
  • Assists the payroll coordinator by providing oversight. 
  • Reviews billing from contractors and vendors, adjusts as needed. Issues cash accounts, credit cards, billing and equipment codes. 
  • Performs related duties as assigned to successfully fulfill the function of the position.


 

 

Job Requirements

Required Education: High School Diploma or GED, AND: 

  •  48 months office, clerical, or administrative experience
