Summary

The Therapeutic Innovation Center is seeking a highly motivated and capable professional to serve as a Business Operations Specialist. This position will play an essential role in managing the day-to-day business operations of a fast-paced, expanding research center by performing and implementing strategic financial, human resources, research administration and operations activities in cooperation with center leadership. This position requires excellent organizational skills and the ability to multi-task and the ideal candidate will possess great customer service skills, self-motivation, attention to detail, and a willingness to learn and assist others. The role also includes working directly with center leadership to set and achieve center goals and initiatives.

 

This position may offer the flexibility of a hybrid work schedule.

Job Duties

The Business Operations Specialist will work closely with the Co-Directors and Administrator for the center to help implement functional operations across all mission areas. This position will require the following duties:


• Performs and helps oversee the daily operations of the leadership office (2 co-directors and administrator) which will include but is not limited to financial, human resources, compliance, business development and process improvements.
• Assists Center Administrator with annual budget, forecasting revenue and expenses for clinical, education, and research missions.
• Develops, manages, prepares and controls the centers operational and research budgets and a variety of financial data reports. Establishes financial and operational systems to monitor, control, and verify expenditures while carrying out financial analyses.
• Manages the human resources activities for the center, including but not limited to, preparing annual personnel budget, establishing staffing plans according to budget and need, developing position descriptions in conjunction with co-directors, visa processing, recruitment, orientation, on-boarding, the annual compensation processes, and off-boarding in support of center leadership.
• Monitors analytics in PowerBI and processes changes to labor distribution in PEPTS, assures accurate cost and effort reporting is in place for faculty and staff.
• May oversee center support positions to ensure accuracy and compliance in day-to-day transactions.
• Plans, executes, and manages a variety of special projects to ensure that implementation and prescribed activities are carried out in accordance with specified strategic objectives. 
• Manages and executes the internal and external center communication projects in conjunction with co-directors and other stakeholders. 
• Manages THINC membership enrollment and Pilot Project process for the center.
• Manages and tracks administrative contracts for the center.
• Develops, recommends, and implements standard operating procedures and process improvement projects and actively collaborates with key center and College stakeholders to maximize effective business operations and productivity.
• Develops and prepares reports for grants, general appropriations, endowments, and other funds.
• Performs difficult and complex administrative tasks and other job-related duties as assigned.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor’s degree. 
  • Experience with project management software Asana, Microsoft OneDrive and SharePoint. 
  • Experience with SRM, SAP, Concur and SuccessFactors.
