JOB SUMMARY:
We are looking for a highly organized team player with excellent written and verbal communications skills to join a team of six medical program assistants supporting the clinical and academic efforts of 24 urologists and departmental administration. The Department of Urology is a nationally recognized program providing the latest treatments for urologic cancers, stone disease, and other genitourinary conditions that have a profound effect on quality of life for adults and children. At the same time, our leading educational programs are training the next generation of physicians and our research is advancing urologic health. This position is a critical to these efforts.

RESPONSIBILITIES: Performs administrative duties to support providers, staff, services, and unit programs. May serve as the primary contact or customer service representative and subject matter expert. Tracks, prioritizes, organizes, and completes multiple ongoing clinical, research or academic projects. Requires Health Insurance Portability and Accountability Act (HIPAA) and Personal Protective Equipment (PPE) knowledge or training.
20% Performs administrative tasks including telephone customer service, word processing, transcribing, filing, and calendaring
20% Acts as the primary liaison for providers or programs and refers stakeholders to providers, agencies, patients, and staff
15% Assists in coordinating the complex daily activities of providers or program(s) by entering information into databases, maintaining files and materials, and preparing reports
15% Serves as the primary contact and subject matter expert for specified program policies and procedures
5% Coordinates with senior management to define program goals and fiscal objectives
5% Identifies opportunities for program improvements and makes recommendations to the appropriate entities
20% Schedules logistics and secures or distributes resources for program meetings, department events, conferences, and travel

QUALIFICATIONS:
Required:
-Excellent written and verbal communications skills.
-Strong typing and computer skills including experience with Microsoft Office suite.
-Demonstrated history of providing outstanding service to internal and external customers and stakeholders.
-Demonstrated ability to work cooperatively to coordinate multiple projects and demonstrate good decision-making.
-Demonstrated strong organization and prioritization skills.

Preferred, but highly desirable:
-Administrative experience in an academic health center, university, or healthcare setting
-Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.
-Demonstrated interest in equity and cultivating inclusivity and belonging in all areas of work.
-Demonstrated ability to work effectively with community leaders, university faculty, physicians as well as diverse community partners and local and state public health professionals.

M-F 8:00a-4:30p

WORK TYPE:
Full Time: 100%

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Position is available for up to 2-days remote work per week.

APPOINTMENT TYPE, DURATION:

SALARY:
Minimum $20.70 HOURLY
Depending on Qualifications
This position is eligible for a hiring bonus in the amount of $1,500.

ADDITIONAL INFORMATION:
This position has been identified as a position of trust with access to vulnerable populations. The selected candidate will be required to pass an initial caregiver check to be eligible for employment under the Wisconsin Caregiver Law and every four years.
