Summary

The Senior Research Administration Associate will be responsible for the pre-award and post-award financial management activities of grants and clinical trials within the Department of Pediatrics, Research Resource Office (RRO). Primary responsibilities will include clinical trial payments, invoicing and reconciliations. Additional responsibilities may include cost assessment, budget development, financial set-up, resource allocation, and preparation of quarterly reports.

Job Duties

  • Manage pre-award and post-award financial management activities of grants and clinical trials
  • Manage complex contract and subaward portfolios for the RRO
  • Oversee data of all active, pending, and closed RRO clinical trials
  • Prepare monthly reports using SAP accounting software, BRAIN, CTMS and/or contract tracking data
    • Review research expenditures to ensure accuracy and appropriateness prior to billing sponsor
    • Invoice industry sponsors in a timely manner to ensure payment
    • Maintain budget section in Clinical Trial Management System (CTMS) -Generates reports
  • Track all revenue and expenditures related to studies in CTMS
  • Work in partnership with investigators to perform cost analysis for industry sponsored clinical trials and investigator-initiated studies, through detailed review of the protocol/study design and related documents
  • Work in partnership with investigators to develop budgets as per the cost analysis, which includes all appropriate expenses for clinical trial contract submissions
  • Assist with creation and reconciliation of internal/external billing policy, ensuring compliance with applicable federal regulations
  • Assist with developing and maintaining SOP's and procedural guides/guidelines
  • Serve as an information resource related to grants and contracts for faculty, fellows, and staff
  • Prepare budgets for pre-award applications to sponsors and ensures accurate routing through the College's electronic Biomedical Research and Assurance Information Network (BRAIN)
    • Review and negotiates research budgets and agreements with industry sponsors
    • Interact with outside affiliates to obtain pricing related to research costs

Minimum Qualifications

  • Bachelor's degree.  Certified Research Administrator certification through the Research Administrators Certification Council (RACC) may substitute for the degree requirement.
  • Four years of relevant experience.

Preferred Qualifications

  • Experience in accounting or clinical research related field
  • Prior experience working in an academic research setting
  • Direct experience in the clinical trials billing and budgeting areas 
  • Understanding of accounting principles and post-award management of a clinical trial study
  • Strong attention to detail and data quality
  • Ability to understand and manage the complexities of research contracts, including issues related to informed consent, access to data, and conflict of interest
