ORGANIZATIONAL SUMMARY: Facilities, Planning & Management is responsible for providing leadership for the successful planning, design, construction, and management of the physical environment in a safe and sustainable manner that supports the University of South Florida Sarasota-Manatee to achieve its objectives in instruction, research, and public service.

POSITION SUMMARY: This position is responsible for providing financial analysis and projections, budget management, and fiscal resource management for the Facilities, Planning & Management department. Additionally, this position serves as the primary liaison both internally and externally for developing, and overseeing planning and fiscal management of events for the USFSM campus.

RESPONSIBILITIES:
Prepares financial reports and spreadsheets for management.
Reconciles accounts, including E&G and departmental auxiliaries. Resolves discrepancies.
Provides financial data for annual budget preparation at the department level, analyzes spending trends and forecasts spending needs in area of responsibilities.
Recommends, develops and implements accounting and financial control policies at the department level for campus event management.
Participates in year-end book closing activities for FP&M E&G and auxiliary funds
Oversees purchasing for assigned areas. Has approval authority for all purchasing related activities for events.
Serves as the liaison with external vendors. Resolves budget issues, responds to inquiries, etc.
Tracks and analyzes utility costs for reporting to the USF System and BOG
Provides special project support, for Facilities, Planning & Management

Events:
Oversees the coordination of event planning with departments and external community
Serves as the primary liaison with internal and external constituencies on all matters relating to the event and program activities.
Evaluates event requests to determine feasibility, space, facilities, technology, equipment, catering, etc.
Develops budget proposals to provide campus support functions for individual events.
Monitors fiscal event planning for permissible expenditures, oversees billing accuracy from vendors and coordinates invoice processing with departmental staff

Academic Course Scheduling & Reservations:
space reservation system, manages space allocation and room reservations for course scheduling, final exams and same day scheduling during block periods.
Ensures class coding meets academic requirements for cross listing, works with Colleges to ensure accuracy in class coding and schedule
Tracks and reports utilization of classroom space
Provides campus-wide training on campus space reservation application

Performs other duties as assigned in support of department projects/initiatives


POSITION QUALIFICATIONS:
MINIMUM: Bachelor's degree in Accounting, Finance, or Business Administration or other related field and two years of fiscal related work experience.
