Job Description

JOB SUMMARY:
This position provides coordination and support to the unit, which is comprised of the Office of Summer Term, Badger Precollege, and the Office of Youth Protection. The Academic Program Specialist is a central resource to the unit and is instrumental in ensuring the teams have the tools and resources needed to support their work. Primary responsibilities include event planning and coordination, administrative support, and marketing and communications. Examples of projects for this position may include:

- Planning and staffing campus events during summer enrollment week to connect with students
- Coordinating unit sponsored campus meetings, including securing catering, IT support for presentations etc.
- Assisting Directors and Marketing Account Managers with reviewing content and design for marketing and communications

General direction will come from the Associate Dean, Assistant Deans and Directors.

Successful candidates will be detail-oriented, have excellent organizational and communication skills, strong interpersonal and teamwork skills, and have the ability to work independently as well as cooperatively within a dynamic team in a fast-paced setting. Effective interaction with staff, students, campus partners, and external organizations such as vendors is required. This individual should be comfortable with some task ambiguity, as work demands fluctuate annually.

The Division of Continuing Studies is a supportive and dynamic working environment. - Event and meeting coordination - Coordinate unit sponsored events including room reservations, prepare meeting materials (ppt, handouts, etc.). Provides year round coordination and staffing for student outreach, including SOAR in the summer.

- Office administration and unit support - Identifies program needs, contributes to the development of unit workflows, schedules logistics and secures resources for meetings, events, and interviews. Drafts communications and assists with travel, registration, and other purchases using P-card or other purchasing processes. Provides support for committees and responds to email and phone inquiries.

- Marketing - Liaison to internal marketing department and academic units. Provides assistance to the Directors and Marketing Account Managers to keep projects on schedule.

- Supervises student employees for the unit, including hiring.

- Coordinates program components and evaluates program effectiveness and provides recommendations for improvement - Project coordination will require a combination of project management and adaptable interpersonal skills and is responsible for developing and maintaining project schedules, and tracking budgets. Collaborative tasks will involve close cooperation with internal partners across campus such as room reservations, advising, and other stakeholders.

RESPONSIBILITIES: Contributes to the development, implementation, administration, coordination, and evaluation for one or more academic programs to ensure effectiveness in meeting departmental and student development goals and initiatives. 30% Identifies program, needs, contributes to the development of unit workflows, schedules logistics and secures resources for meetings, events, and interviews
20% Coordinates program components and evaluates program effectiveness and provides recommendations for improvement
10% May supervise the day to day activities of one or more academic programs and resolves issues exercising discretion to meet unit goals.
5% Marketing ? Liaison to internal marketing department and academic units. Provides assistance to the Directors and Marketing Account Managers to keep projects on schedule.
5% Supervises student employees for the unit, including hiring.

EDUCATION:
Required
Bachelor's Degree

QUALIFICATIONS:
The ideal candidate will have demonstrated experience working in an administrative capacity, providing outreach and organizing event planning. Demonstrated competency in Microsoft Office Suite (e.g., Excel, PowerPoint) as well as an interest in growing technical skills.

These core skills and competencies are required:
- Experience in project management, educational administration or managing an office (one year).
- The ability to develop and maintain strong, collaborative working relationships.
- Exceptional customer service orientation (welcoming and responsive to staff and student requests, deadline oriented, motivated to produce high quality work).
- Strong organizational, planning, and coordination skills with the ability to multi-task.
- Ability to work effectively as a team member but also be comfortable working independently under general supervision.
- Experience using Excel or Google Docs for coordinating, processing, and tracking data (one year).

This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location.

APPOINTMENT TYPE, DURATION:
Ongoing/Renewable

SALARY:
Minimum $48,000 ANNUAL (12 months)
Depending on Qualifications
The starting salary for the position is $48,000 but is negotiable based on experience and qualifications.
