What You'll Do

The successful candidate in this role will be responsible for standard work as well as a variety of projects that will provide support to the administrative and operations functions of Medical Staff Services.

The candidate will represent the department in a professional manner, interacting daily with Michigan Medicine Health System leadership, departmental customers, and administrative professional peers. The candidate must be able to maintain confidentiality of the department as required in supporting executive-level performance. This position involves a high degree of flexibility, requiring the ability to work proactively, both independently and as part of a team. This position requires the confidence and competence to make independent decisions on matters of significance free from immediate direction.

Provide highly responsible and complex administrative support to the Medical Staff Services Administrative Director and Medical Staff Services Manager. In addition, this position will support, as back up, the MSS Manager for duties such as payroll approval, invoice creation and submission, reconciling state of accounts and other duties as needed. The position will be responsible for administrative support tasks including scheduling, coordination, and follow-up tasks for Credentials Committee; supporting department projects/activities; creating and maintaining databases, spreadsheets, answering telephones and providing related follow-through. This position is accountable for ensuring accuracy and completeness through attention to detail.

Provide complex calendar management for Medical Staff Services Administrative Director and Medical Staff Services Manager; resolve routine and complex inquiries. Schedule various meetings involving members from multi-disciplines, and leadership at the highest levels of the organization. Prepare and organize informational materials for meetings; exercising independence, discretion and judgment to analyze and appropriately prioritize complicated and challenging calendars. Schedule and plan meetings, Zoom webinars, conferences, and other appointments or engagements.

Coordinate travel arrangements which include booking airline and hotel reservations, submitting registration for meetings/conferences, preparing travel expense reports and hosting expense reports, with responsibility of ensuring compliance with University regulations. Process all invoices to be paid by Medical Staff Services.

Responsibilities*

Coordinate, track and develop Medical Staff Services Standard Operating Procedures, working independently and/or with groups. Support content creation and coordination of additional education and training
Expirable management on a monthly basis. Responsible for the development and maintenance of an automated process in sProvider
Manage the addition and/or amendment of a new procedure, technique, or treatment modality on an existing delineation of privilege
Contribute to the preparation and coordination of files for accreditation and regulatory surveys
Manage correspondence, presentation of files and communication (verbal, written, and e-mail) using independent judgment for Health Plan audits
Provide high-level, pro-active support for the Credentials Committee, including scheduling, meeting materials development and agenda content tracking/preparation, taking minutes, tracking action items and generating all necessary follow-up correspondence to ensure work is completed to support related meeting business, projects and/or phases of associated projects, and to prep for subsequent meetings
Control Medical Staff Service internal and external website modifications and aid in the redevelopment of website enhancements
Aid in the coordination and management of various MSS quality improvement and affiliation integration projects
Oversee iResponse access and provide education for general use. Generate all necessary follow-up correspondence for affiliation verifications including communication with external departments to address adverse actions. Investigate and determine correct location for providers not holding clinical privileges
Validate Medical School appointment for all initial and reappointment applications prior to Bi-monthly Credential Committee meeting
Fill Keurig water reservoir as needed
Other assigned duties
Required Qualifications*

Bachelor’s degree
3-5 years of administrative/professional experience in a relevant field e.g., communications, quality improvement, human resources, performance monitoring
Exceptional written and verbal communication skills
Excellent organizational and ability to manage multiple projects/tasks simultaneously
Committed to accuracy and detail-oriented
Demonstrated ability to work independently with a positive attitude and insight about when to ask for guidance
Ability to prioritize workload and maintain focus in a high-volume, deadline-driven environment
Thorough understanding of and capability to work within systems to ensure compliance with institutional policies, Medical Staff Bylaws and regulatory requirements
Experience at problem-solving using analytical skills and sound judgment, escalating when a matter is beyond their scope of responsibility
Ability to work effectively, cooperatively and professionally with a diverse group
