Job Summary
Provides administrative support in the front office of the Multi-Interprofessional Center for Health Informatics (MICHI) center. Responsible for performing various routine administrative duties including answering phones, distributing mail and packages, ordering office supplies, greeting visitors and scheduling room reservations.
Essential Duties and Responsibilities
Provides administrative support at the front desk of the MICHI center including answering phone calls, providing directions to visitors, sending and receiving mail/packages, maintaining inventory of office supplies.
Facilitates room reservations for events, student group meetings, student defenses or and dissertations, faculty meetings, faculty/staff events, as well as events for other departments.
Maintains calendar of Executive Director, events, conference rooms and arranges schedules and meetings.
Maintains and updates room reports and student office assignments, orders room keys and maintains annual key audit.
Assists with travel reimbursements and visitors’ travel arrangements.
Records and distributes meeting minutes and notes from faculty/staff meetings, IAB, retreat meetings, etc.
Provides on-hand technology assistance and troubleshooting (i.e., printer, scanner, computer, webcam)
Performs other duties as assigned.
Required Qualifications
High school diploma or equivalent with a minimum of two (2) years of experience providing secretarial or administrative support or equivalent work experience.
Preferred Qualifications
Bachelor’s Degree in a related field.
At least three (3) years of experience in an academic department.
Knowledge of the University’s academic policy and procedures.
Knowledge of PeopleSoft.
