The College of Medicine Office of Student Affairs (OSA) oversees and coordinates year-round student services for College of Medicine students. Services range from student programming to course selection and compliance for students on the Oklahoma City campus.  The Assistant Director position oversees compliance, enrollment and scheduling for College of Medicine students and maintains current student records.

Duties:

  • Responsible for assisting with the planning, organizing, and administration of academic, student service activities, and student-related functions in the College.
  • Assists with the development, monitoring, review, coordination and implementation of college policies and procedures pertinent to academic programs and student services; provides support to the college faculty and staff in the development of programs, which support student recruitment, admission, retention and student life.
  • Utilizes information systems in the progressive development of business practices that effectively support the college and as appropriate campus-wide student records systems.
  • Coordinates the college recruitment efforts for potential candidates for admission into professional programs.
  • Coordinates student enrollment and processing of grade reports.
  • Assists with managing the collection, evaluation, and reporting of information pertaining to students and educational programs and their performance for a variety of surveys and reports.
  • Serves on task forces and committees as assigned.
  • May supervise full-time or temporary employees and student workers. 
  • Will coordinate and supervise activities of vendors for related programs and services.
  • Performs other related duties as assigned.
 

Job Requirements

Education: Bachelor's degree 

 

Experience: 24 months experience in student recruitment, student relations, student programs coordination, and/or student counseling.

 

Equivalency/Substitution: Will accept 48 months of experience in lieu of a Bachelor's degree to equal 72 months of related experience.

 

Skills:

  • Advanced organization and communication skills
  • Excellent interpersonal skills, including oral and written communication. 
  • Demonstrated conceptual, analytical and organizational skills.
  • Excellent computer skills. Proficient in Microsoft Office (Word, Outlook, Excel and PowerPoint).
  • Ability to make independent decisions and judgment when following broad instructions.
  • Ability to plan, coordinate, and prioritize workload. Ability to complete tasks in an efficient and timely manner.
  • Advanced level of analytical, evaluative, and constructive thinking. 
  • Detail oriented for accuracy of data and information.
  • Ability to develop and maintain collaborative and productive relationships with various constituency groups.
Working Conditions:

  • Environmental: Standard office work environment.

Department Preferences:

  • Experience in data maintenance and tracking.
  • Experience working with professional students.
  • Knowledge of PeopleSoft for enrollment purposes.
  • Meets with fourth year students to determine course schedules and complete enrollment.
  • Oversees all compliance, enrollment and scheduling.
  • Establishes and maintains positive working relationships with course coordinators and other stakeholders.
  • Conducts graduation audits.
  • Maintains updated student records in both internal and external databases.
  • Maintains course catalog.
  • Performs related duties as assigned to successfully fulfill the function of the position.
