Summary

The Children's Hospital of San Antonio is seeking a Senior Coordinator, Business Operations. The purpose of this position is to provide support by leading and coordinating projects for the assigned departments. The position serves as primary point of contact for assigned departments faculty and staff regarding general business questions and primary point of contact for recruitment of assigned departments coordinating candidates visits and onboarding. The Senior Coordinator will be in charge of coordinating the Visa process with Baylor College of Medicine ISO office and serve as primary contact for faculty Visa processing and renewals and will coordinate and process faculty appointments and promotions for assigned departments, act as liaison with Baylor College of Medicine.

 

Position is located in San Antonio, TX.

Job Duties

Recruitment: 

  • Manages recruitment for assigned departments including being primary contact person for faculty candidates, develops of candidate’s visit interview agenda and arranging logistics such as travel and lodging. Maintains a list of active candidates for assigned departments, collects post-interview evaluations and submits to leadership.
  • Follows up with candidates’ post-interview to answer any benefits/employment questions. Coordinates and manages on-boarding for new faculty recruits for assigned departments. 

Operational Support: 

  • Manages faculty calendars, secures travel arraignments, submits reimbursements, schedules meetings, maintaining and updating department/sections rosters, distributing mail and screening calls, submit IT tickets or office work orders, provide coverage in coordinator’s absence and other office and support related duties as necessary.

Call Roster, QGenda, Vacation: 

  • Acts as the primary person to manage Qgenda for assigned departments. Publishes monthly call schedules, ensures faculty are entering their time off request in the system, adds and removes new and departing faculty from Qgenda, ensures workflows in the system are being reviewed and updated on a quarterly basis.

This position will also coordinate and submit documentation needed to process faculty appointments and promotions for assigned departments. Liaison with BCM Faculty Affairs and faculty member to meet submission deadlines for promotion. Manages guest accounts for collaborators, students & voluntary appointments for assigned departments/sections. Coordinates with ISO office in BCM regarding candidates’ new visa processing or faculty visa renewals. This position will act as the liaison between the CHRISTUS, Baylor MedCare, BCM credentialing and Christus medical staff office to track enrollment with payers, assist leadership in assessing any delayed payer enrollment. Credentialing of physicians for presentation to CHoSA and BCM credentialing committees.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree.
  • Prior Credentialing experience.
  • Medical Office experience.
