Job Description

Position Purpose
The Assistant Director serves as the point person for the management of all OCOS information systems to ensure the smooth flow of work and timely accomplishments of office objectives. Key functions include maintenance and tracking of office information applications and coordinating annual stewardship within the Arts & Sciences.

Education
Bachelor’s degree or the equivalent combination of education and experience.

Experience
Two years’ experience in database management, information technology, project coordination or related field, preferably in an academic environment.

Skills and Knowledge
Strong analytical, logic, and communication skills, both written and verbal.
Demonstrated skill with large databases and records management.
Demonstrated ability to work accurately and professionally with confidential and/or sensitive information.
Excellent computer skills and proficiency in all Microsoft Office applications (PowerPoint, excel, etc.); mastery of file server applications for shared access; aptitude for learning new software systems.
Outstanding organizational skills with the ability to work independently, balance multiple priorities, and mange time effectively in a busy environment.
Creative thinker with attention to detail.
Demonstrated ability to use good judgement and to interpret policies, rules, and procedures.

Key Accountabilities
Description
Stewardship/Endowment Administration
Develops and maintains a master list of funds requiring regular stewardship.
Maintains a rolling stewardship calendar that monitors the status of donor communication and shares this information with OCOS colleagues during weekly all-staff meetings.
Works to ensure timely and effective stewardship of more than 800 A&S endowed funds and select current-use gifts.
Prepares background materials in preparation for correspondence and reports from the Dean to alumni, parents, prospects, and other donors.
Brings actions and identifies next steps in the acknowledgment processes for donors to the COS.
Responds to queries and requests for information from department/programs about new and existing funds and current use gifts as appropriate.

Description
Information Systems Management
Ensures the accuracy, thoroughness, and confidentiality of data pertaining to the A&S, donors, prospects, and projects within institutional information systems.
Responsible for developing, maintaining, and updating of information systems related to the daily operation of the OCOS. These systems include the office’s internal project management software (Monday.com) and Filemaker database, Google drive and Dartmouth servers, Excel spreadsheets as well as databases and spreadsheets shared with other offices (ASFC, Advancement, OCP, UGAR, etc.).
Monitors and updates all materials (SOUs, proposals, received gifts, pledge schedules, etc.) related to capital campaign gifts and other donations directed to the A&S.

Description
General Administrative Support
Researches, synthesizes, and prepares materials on existing endowments, current use gifts, and/or donors for COS and OCOS colleagues.
Timely dissemination of information requested by COS and OCOS colleagues.
Provides additional research support for the OCOS as directed by the COS.
