Job Function:

Provide administrative and office organization support for the Health Promotion and Advocacy.

Minimum Education:

Associate's degree in office management or related area or equivalent.

Minimum Experience:

At least one year of customer service experience.

Duties and Responsibilities:

  • Administrative Support: Provide administrative support to the Director: includes coordinate and schedule meetings; organizing report data; correspondence to campus and community partners; prepare correspondence and outreach materials; maintain and coordinate databases and report templates; assist with communication, organization, and record keeping.
  • Administrative Support: Provide administrative support to the Health and Wellness Coordinator: includes prepare correspondence and outreach materials; schedule individual consultations requested by students; maintain programmatic databases; schedule events/locations; arrange for equipment; assist in office marketing; assist selection of outreach incentives.
  • Administrative Support: Provide administrative support to the Victim Advocate: includes assess client services for walk-ins or students calling to schedule appointments; assist with maintaining Center for Survivor Support database; maintain confidential and sensitive client records; schedule events/locations; arrange for equipment; assist in office marketing; assist selection of outreach incentives.
  • Financial Matters: Maintain and oversee departmental budgets and expenditures for departmental accounts and additional funding: includes processing invoices; prepare and coordinate purchase orders, journal vouchers, and online purchases for Health Promotion and Advocacy.
  • Supply and Inventory: Coordinate and organize materials: maintain, monitor, manage, order, stock, and prepare office supplies, resources, and incentives; keep track of inventory; distribute resources to student groups and campus partners; assist with data collection on selected resources provided by Health Promotion and Advocacy.
  • Communication: Greet and assist visitors; monitor departmental email accounts; monitor and update departmental websites; submit facilities and work order requests; relay services and outreach information to university communication centers; monitor departmental phone system (answer calls and respond to voicemails); resolve varied questions and or concerns or referring them to other team members or departments as appropriate; mail distribution.
  • Professional Membership: Manage departmental memberships with American College Health Association; coordinate participation in the American College Health Association’s National College Health Assessment survey; coordinate information with other departmental memberships.
  • Professional Development: Participate in professional development opportunities: includes opportunities related to customer service, administrative coordination, responsibilities of this role as it relates to the department and university.
  • Data Collection: Enter program information in electronic records system; maintain reports and comments; perform data entry and reporting of various evaluations and assessments for departmental services and outreach.
  • Staff Support: Provide education and support for Health Promotion and Advocacy personnel on office protocols; train and monitor student staff (including interns, and volunteers) on reception area tasks and preparing outreach supplies and materials.
  • Attendance: Maintain regular and predictable attendance.
  • Performance: Perform other related duties as assigned.
