The OU Registrar Office works to bring in the next generation of Sooners. Our team operates from Norman as well as across the state, nation, and world. We provide support to incoming domestic and international freshman and transfer students as they navigate the college application and decision process. Additionally, we partner with parents, counselors, and communities in providing resources to students interested in higher education. Our goal is to build a vibrant, inclusive community on campus by recruiting students with diverse backgrounds, educational experiences, and involvement. 

We're currently looking for a new team member in our Norman office to serve as Graduation Records Specialist. We need someone who exhibits:

“This position is eligible to participate in our Launch Advancement Program and receive up to $7,500 upon completion”

Responsibilities Include:

  • Post & Process all degrees for all OU campuses except for the Health Sciences Center (HSC)
  • Printing Diplomas and Certificates
  • Producing duplicate & additional copies of diplomas for current students & alumni
  • Main contact to produce and maintain the digital and official print copy of the Fall & Spring commencement book
  • Build & post minors as well as additional majors to graduation student's records
  • Posting thesis & dissertation titles to graduating student's records
  • Liaison between campus partners and Registrar's Office to provide accurate reporting of each semester's graduates
  • Responsible for uploading the current semester's degree file to the National Student Clearinghouse
  • Processing early completion letters for degree granting colleges and graduating students 
  • Liaison with the Provost's Office to process the release of transcripts for students with Academic Misconduct
  • Assist with Academic Records needs as time permits

The position is located in Norman with a flexible and/or hybrid remote option possible for qualified candidates

 

Job Requirements

Required Education: Bachelor's degree, AND:

  • 12 months in student programming, student services, or closely related experience.

Equivalency/Substitution: Will accept 48 months related experience in lieu of the Bachelor's degree for a total of 60 months experience.

Skills:

  • Ability to communicate verbally and in writings.
  • Composition and proofreading skills
  • Computer skills, including proficiency in navigating and maintaining databases
  • Detail oriented for accuracy of data and information
  • Highly organized and ability to handle multiple projects and deadlines
  • Ability to communicate well and build rapport with students, faculty, and staff
  • Ability to read and interpret policy as well as State and Federal regulations

Departmental Preferences:

  • Experience with student information system, preferably Banner student record system
  • Proficiency in using computer software such as Word, PowerPoint, Excel, InDesign, Adobe, Publisher, etc. 
  • Knowledge of FERPA and ethical principles in working with students
