The University Events Manager oversees university events in the Division of Marketing and Communications. The position manages logistics for Commencement, dinners, luncheons, receptions, dedications, groundbreaking ceremonies, conferences, and other university events. The position requires flexibility and managing priorities and conflicting time demands.

  • Manages events for the Office of the President
  •  Creates proposed budgets for events; proposes revisions to reduce costs and maximize efficiency.
  •  Serves as liaison with Facilities Management, Campus Safety, OU Catering, and other vendors
  •  Evaluates existing events and proposes long-range strategic goals that will improve the guest experience and support OU's  Strategic Plan
  •  Collaborates with Risk Management to create emergency preparedness plans for every event.
  •  Works closely with graphic artists on event invitation design and other event-related graphics.
  •  Serves as a resource to departments on campus by providing guidance and best practices for events.
  •  Creates Qualtrics surveys for RSVP collection, pulls reports, and manipulates data.
  •  Manages guest lists.
  •  Creates and disseminates invitations via Mailchimp.
  •  Serves as primary event manager for virtual events.
  •  Creates best practices for virtual and hybrid events ensuring all university policies are met.
  • Performs various duties as needed to successfully fulfill the function of the position.
 

Job Requirements

Education: Bachelor's degree, AND:

  • 18 months of event management experience.

Equivalency/Substitution: Will accept 48 months of related experience in lieu of the Bachelor's degree for a total of 66 months of experience.

Skills:

  • Strong oral, written, and interpersonal communication skills and the ability to work effectively with a wide range of constituencies in a diverse community
  • Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources
  • Large-scale event safety and security knowledge 
  • Ability to establish priorities, meet deadlines, and make procedural decisions and judgments
  • Ability to adapt and deliver safe events that follow OU policies and procedures
  • Ability to take initiative and thrive in a fast-paced work environment
  • Highly organized and able to handle multiple projects and deadlines
  • Able to work well with interdepartmental teams and initiatives
