Job Summary
This position provides administrative support for the Executive Director of the Academic Success Center (ASC). The position is responsible for monitoring and managing the finances and personnel actions required for the ASC and other departments that are supervised by the Associate Vice President for Student Success. This includes the coordination, tracking, and reconciliation of all funds that are allocated to faculty and student grants, reimbursements, travel, conference preparations, event management, etc. In addition to the technical skills expected, the position will manage interactions with executive, faculty, staff, student, and community contacts. The successful candidate is expected to maintain the highest levels of efficiency with regard the managing the department's budget, expenditures and personnel processes.

Responsibilities
Responsibilities include, but are not limited to: Receive incoming correspondence, check, and compare with previous communication, compose routine correspondence, format and type documents, proofread and edit draft material, determine priority of incoming material and route to appropriate personnel. Provides department specific technical and administrative support duties of a diverse nature requiring some independent analysis, exercise of judgment in task execution and detailed knowledge of department and/or institutional procedures related to the work performed. Maintain supervisor's calendar, schedule meetings, and make travel arrangements, process travel reimbursements, and other forms incidental to these responsibilities. Coordinate and collect materials for faculty appointment and coordinate with Dean's Office of Office of Faculty Affairs as appropriate. Coordinate the generating of various faculty and/or staff lists and statistical data throughout the academic year. Prepare materials for presentation such as seminars conferences, meetings, etc. including handouts, brochures, pamphlets, transparencies, reports, and the like. May assist at seminars, conference and meetings as directed. Assists in planning and coordinating department programs, projects, and special events. Prepares and processes requisitions, purchase orders and other office forms and documents. Maintain office supplies and equipment inventory. Makes decision on purchasing supplies at a value that does not exceed $50 per item and $500 per purchase and gathers and compiles information in support of recommendations for equipment purchases. May monitor simple department budget, handle general bookkeeping duties, and reconcile accounts. Gather fiscal date and submit to appropriate person to support development of the departmental budget or grant proposals. Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of four years' progressively responsible experience in administrative support positions, including two years at the Administrative Assistant 1 level.
OR
High School Diploma, GED, or equivalent from a State or Federal accrediting organization and seven years' progressively responsible experience in administrative support positions.

Preferred Qualifications
Experience in student affairs, student services, or auxiliary services section of higher education; strong human resources ability; financial or budget aptitude.

Knowledge, Skills, & Abilities
Ability to maintain confidentiality. Detail-oriented. Excellent interpersonal, verbal, and written communication skills. Proficient in Microsoft Office and other computer software/databases.

Shift/Salary/Benefits
Shift: Days; Monday - Friday
Pay Grade: 12
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
