Develop and manage AAL’s financial and business operations to support our extensive community engaged scholarship projects in Muncie, Delaware County, and East Central Indiana and beyond, while developing and overseeing the implementation of effective public relations and social media presence. Keeping our partner communities and potential partners informed about our work and our mission is critical to the maintenance of the AAL as a student-centered, community-engaged, externally-funded institute within the College of Sciences and Humanities. The incumbent will design processes and oversee execution of several key financial and business management functions within the complex environment of AAL’s many projects, project types, employee types, and public events. Design and manage sound logistical and accounting procedures for AAL operations, and collaborating with other professional staff to ensure successful future funding of the unit.

Job Function:

Minimum Education:

Bachelor’s degree in Business, Accounting, Finance, or closely related field.

Preferred Education:

Training or experience in non-profit account management.

Minimum Experience:

At least three (3) months experience managing budgets, finances in a comparable setting; experience coordinating complex logistics across multiple departments; Proficiency with Microsoft Word, and Excel; experience or training in accounting and budget management; experience or equivalent training in Accounting or Business Administration; demonstrated ability to follow and write detailed written instructions.

Preferred Experience:

Prior experience coordinating business operations in a similar setting composed of a mix of established professionals, academics, graduate, and undergraduate students; prior experience with SciQuest, Kronos, Banner; experience with navigating University bureaucracy and procedures efficiently and against multiple competing deadlines.

Duties and Responsibilities:

  • Manage the development of AAL’s brand for promotion and marketing within the university, with our community partners, and maintain appropriate social media presence to facilitate the maintenance and growth of AAL's community-engaged activities with and for local and regional communities.
  • Design and oversee implementation of appropriate policies, practices, and assessments for short-term and long-range operations management and planning.
  • Design, streamline, and manage financial administrative processes for AAL; ensure all Professional Staff know and understand how to implement new and existing finance procedures in project implementation.
  • Manage AAL general budget and manage a broad scope of individual project budgets (typically in excess of $500,000 annually).
  • Ensure that all project budgets are sound and address project and staffing needs in line with best finance and accounting practices.
  • Oversee the process of a high volume of daily, weekly, periodic travel arrangements for all AAL personnel (Staff and a large volume of student employees) and AAL partners for all AAL projects and efforts. Establish procedures for Staff and Project travel arrangements to comply with University travel policy; oversee implementation of administrative tasks (performed by subordinates) required for the daily operation of the AAL.
  • Oversee processes for high volume student payroll for individual projects and AAL general tasks spanning multiple funds and a multiple organization codes.
  • Manage inventory of supplies and equipment, including restocking and replacement as needed.
  • Work with the AAL Director to develop and maintain standard operating procedures (SOP) and safety documents for all areas of AAL.
  • With other AAL staff, manage and oversee the hiring, and training of a high volume of student employees, temporary staff, interns, and volunteers.
  • With the AAL Director design data tracking protocols for staff implementation, and submit data for institutional reporting.
  • Work with the AAL Director and other staff as appointed by the Director to manage records, access, digitization, acquisition, and oversee curation of archaeological collections. Involves work in the field and curating outside collections.
  • Perform other related duties as assigned.
