Summary

Research Support Services is seeking a Senior Coordinator, Executive Support to be responsible for the coordination of the office of the Senior Vice President and Dean of Research.

Job Duties

• Handles the day-to-day operations of the Office of the Senior Vice President and Dean of Research (SVPR). 
• Coordinates clerical or administrative activities, such as managing the office, opening and closing the office, monitoring and keeping stock of various supplies, welcoming high-priority clients, research colleagues, donors and others. 
• Coordinates the calendar of the SVPR and supports meeting coordination for other senior leaders.  This includes coordination with other executive support or departmental staff, anticipating challenges and leadership needs, proactively resolving problems and conflicts, collecting and communicating relevant meeting information such as agendas, and ensuring a feasible flow while the SVPR moves through the day.
• Coordinates special events, including booking rooms, travel, logistics, and catering.  Events may include interviews, department meetings, events, off-site retreats, and other functions.
• Provides routine administrative assistance to the executive, such as scheduling, proofreading, and tracking documents for signature. Manages scheduling for conference rooms.
• Prepares expense reports for travel reimbursements and BluCard expenditures. Processes invoices and requisitions for orders and services.  Coordinates travel and logistics for important visitors.  Tracks expenditures and may participate in financial monitoring.
 

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelors Degree.
