Summary

The Senior Coordinator, Academic Services will provide administrative and academic support for the Student Affairs Discovery, Integration, Success, Community, and Outreach (DISCO) program and coordinator related business expenditures. The Senior Coordinator will also partner with staff in maintaining the Medical Student Performance Evaluation (MSPE) process and other critical submission/matching processes for medical students entering residency. This role will closely monitor project progress, communicate with stakeholders, and provide administrative support to ensure the smooth operation of programs and services. A successful candidate will have the ability to maintain positive working relationships with faculty, students, peers, and learners. Must be a self-motivated, self-initiator who is organized, detail oriented, and able to multitask. In addition, they will demonstrate excellent networking, relationship, and conversational skills. 

Job Duties

Administrative 

  • Assists with reimbursements, check requests, purchase orders, travel, etc. for assigned programs/services.
  • Assists Senior Coordinator, Business Operations on purchasing tracking, contract support, expenditures balances, reports funding balances and needs, and maintains compliance.
  • Coordinates the scheduling of in-person or virtual rooms/spaces for assigned programs and services.
  • Backs up admin support to Sr. Manager, Deans and Director which includes but not limited to drafting reports, and presentations, comms, Deans Hours, and scheduling appt/setting up meetings, and travel. 

Programming/Advising 

  • Coordinates all program logistics for the Discovery Integration, Success, Community, and Outreach (DISCO) program including program methods and procedures, recruitment & training support, and program scheduling. 
  • Assists with recruitment, on-boarding, and training of DISCO peer-tutors.
  • Coordinates study materials and equipment for the DISCO program, annual distribution of study aids and other academic support tools, including check-out/return. 
  • Coordinates resources for Step 1 and Step 2 including voucher distributions, study guides, and other related items. 
  • Works with Senior Academic Services Associate on Blackboard and other Ed Tech edits and updates for assigned programs/services.
  • Partners with Sr. Coordinator, on the development and maintenance of a dual role for the Medical Student Performance Evaluation (MSPE) process with students, faculty, and staff. Lead the development and continued automation with IT to facilitate the MSPE process. 
  • In coordination with Senior Manager and Deans, manages all related Residency Application Processes to include but not limited to CAMs, MSPE, Electronic Residency Application Service (ERAS), NRMP, and other submission and matching platforms. 

Assessment 

  • Responsible for assessing the success of assigned programs and services. Maintains assessment results for reporting to Senior Manager and ensures program/student learning outcomes to align with Office of Student Affairs mission and the School of Medicine priorities.
  • Uses assessment data collected to recommend changes to program/service design and methods. 

Office Support 

  • Provides administrative and logistical support to all Student Affairs office events (Orientation, Family Day, White Coat Ceremony, Match Day, Graduation, etc.) 
  • Proctors Clinical Science and Basic Science examinations. 
  • Assigns and facilitates training for cross coverage among staff.
  • Provides additional support to Senior Coordinator for Academic Services during peak times.

Minimum Qualifications

  • High School diploma or GED.
  • Four years of relevant experience.

Preferred Qualifications

  • Bachelor's degree in Education or related field.
  • Experience working in a college or university setting.
  • Experience with process improvement.
  • Experience working at a medical school.
