Position Description
The Program in Medical Education (PME) at Harvard Medical School (HMS) is the organizational structure housing the education programs that lead to the MD degree. The PME is comprised of 14 offices and is responsible for all aspects of the Pathways and HST curriculum tracks from admissions to graduation. The PME’s Finance office is comprised of a five-person team responsible for: preparing PME’s annual budget, quarterly reporting, and financial analysis; managing financial transactions and providing guidance to ensure compliance with Harvard University financial policies and procedures; managing the teaching compensation process of required MD courses; and serving as a resource to other PME offices regarding general administrative issues/problems.

Reporting to the Senior Director of Finance and Administration, the incumbent will independently manage, and lead responsibilities related to teaching compensation, financial analysis and general administration. A successful candidate will be able to solve problems independently, think critically and create viable, compliant solutions to administrative issues, but understand when to escalate an issue.

Teaching Compensation
  • Manages a portfolio of MD course teaching reports from each of the 3 phases of the MD curriculum (Preclerkship, PCE and Post-PCE), which includes reviewing to determine eligibility of compensation and compliance with established guidelines, allocating compensation to correct department/organization, and calculating compensation.
  • Researches and resolves any issues raised by affiliate appointing departments and makes corrections/adjustments to future teaching reports.
  • On-boards faculty not paid by an affiliate hospital to the HMS payroll and provides regular status updates to Senior Director.
  • Generates quarterly communications to faculty regarding teaching compensation and researches and resolves any questions or issues.
  • Prepares analysis of quarterly teaching compensation and other ad hoc requests for Senior Director.

General Administration
  • Leads pre-award activities, which include understanding funding announcements and serving as a point of contact to advise MD students/faculty. Identifies issues and proposes solutions. Develops budgets and budget justifications to ensure compliance with sponsor’s terms and University’s policies.
  • Post award primary duties include serving as principal source of information/guidance on fiscal policies and procedures. Responsible for administering and implementing the terms and conditions in notices of awards, contracts and action memos.
  • Leads efforts on annual academy fellowship opportunity awarded by HMS Academy by advising applicants, troubleshooting issues and establishing post-award procedures.
  • Manages Vanderbilt Hall Resident Assistants program, which includes annual recruitment, on-boarding, and termination of appointment.
  • Troubleshoots issues/complexities surrounding compensation differentials and draft service agreements for MD faculty holding leadership roles in the PME.
  • Manages HST’s MD Research Assistantship program, which includes on-boarding, advising selected PIs of the process and financial commitment, working with a Financial Associate on the invoicing and collection of stipend and tuition payments, ensuring compliance with University policies and protocols, and preparing monthly and ad hoc reports for Senior Director.
 
Financial Analysis
  • Prepares timely financial analysis, projections and reports for all PME sponsored accounts and Office of Scholarly Engagements’ endowment funds. Ensures stipends of scholarly projects comply with the terms.
  • Verifies budgets, reconciles, analyzes and resolves discrepancies relative to financial aid endowments used for MD student scholarship.
  • Leads reconciliation, analysis and reporting of all PME gift and endowments and ensures compliance with terms and conditions of each fund, as well as University policies and procedures.
Basic Qualifications
5 or more years of experience. Higher education may count towards experience.
 
Additional Qualifications and Skills
  • Bachelor's degree preferred.
  • Strong written and verbal communication skills.
  • Demonstrated experience with financial systems and data query tools. Working knowledge of financial administration principles.
  • Demonstrated skills in prioritizing/performing multiple tasks while maintaining exceptional attention to detail.
  • Excellent interpersonal, written and verbal communication skills. Keen sense of compliance workflow and business processes.
