Job Summary

Provide high-level support to College of Nursing administration, department chair, faculty, staff, and students by planning, organizing, and managing the resources of a department. Direct the daily oversight of the department and provide oversight of the department budget in partnership with the Department Chair.

Responsibilities

This position directs the daily operations of the department in partnership with the Department Chair and provides high-level support to administration and faculty by planning, organizing, and managing the resources of the department. The duties include, but is not limited to:

Operations

Maintain high-level knowledge of all aspects of the PTN department and the College of Nursing as to communicate effectively with the University and College of Nursing administrators, faculty, staff, students, and outside public. Provide and ensure resource support for department chair and all departmental faculty to enable focus on the critical missions of research, teaching, and scholarship. Manage and ensure resource support for academic programs and program managers of Acute Care Doctorate of Nursing Practice (DNP), Nurse Anesthesia Doctorate of Nursing Practice (DNP), Clinical Nurse Leader (CNL), Nurse Anesthesia Program (NAP), and Doctorate of Philosophy (PhD) to enable focus on the critical missions for program management and student enrollment. Establish workload priorities and efficiencies to achieve a superior level of departmental and program support.

Assist the Department Chair with the teaching assignment application Quickbase. Work with the Department Chair to communicate approved teaching assignments to faculty. Be proactive in developing new ideas and procedures for department improvements.

Faculty Recruitment

Work in conjunction with the Department Chair on all issues related to faculty recruitment. Manage the process for selecting, interviewing, hiring, and orienting new regular and part time faculty hires; manage the process for selecting, interviewing, hiring, and orienting variable part time faculty (VPT's), as well as manage and process necessary documentation regarding VPT salary calculations and disbursement. Collaborate with the Business Office in the College of Nursing to prepare the appropriate paperwork and secure institution and college approvals as needed.

Budget Management

Monitor, manage, and reconcile the departmental budget accounts and partner with the Chair to assess financial needs critical to successful operation of department; Design systems for efficient management of purchasing and maintaining inventory of office supplies, books, equipment and furniture, etc. in accordance with institutional policies and budgetary restrictions. Monitor and manage a number of faculty grant funding and foundation accounts. Prepares requisitions, orders and other standard forms and document institutional processes.

Faculty Maintenance

Maintain faculty compliance (i.e., CPR, PPD, Licensure). Maintain the compliance documents in the comprehensive faculty (non-administrator) file. Collect information from faculty and keep a comprehensive spreadsheet of information. Monitor and communicate instances of noncompliance (expired items) to the faculty in order to get into compliance. Send comprehensive spreadsheet to the Office of Academic and Student Affairs on specified dates for clinical agency credentialing.

Maintain faculty criminal background checks and drug screens from external agencies i.e. Precheck, Advantage, etc. Communicate with the faculty member that additional information and background check and drug screen is required to be obtained to practice at clinical agency sites.

Release the background check and drug screen to the clinical agency.

Administrative

Plan and coordinate departmental programs, colloquia, projects and special events. Prepare materials for presentations at seminars, conferences, meetings, and participate as a department representative as needed.

Academic Programs

Act as a knowledgeable resource regarding developments in campus, departmental, and academic program procedures; Communicate pertinent information for program managers, faculty and Department Chair to insure adherence to current procedures and requirements of the department and the institution.

Operation

Department: Maintain Department Chair's calendar, schedule meetings and make travel arrangements, process travel reimbursements for department faculty and other forms incidental to these responsibilities.

Academic Programs: Manage the Program Manager Meetings purpose, schedule meetings, prepare, lead and maintain meeting minutes.

Other duties

Other duties as assigned to include assignments/projects/events.

Required Qualifications

High School, GED or equivalent from a recognized state or federal accredited organization required, with a minimum of nine years of progressively responsible office support experience OR Associate's degree from an accredited college or university with a minimum of six years of progressively responsible office support experience.

Knowledge, Skills, & Abilities

Excellent customer service, interpersonal, multi-tasking, organizational and verbal/written communication skills.

Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer software/databases.

Ability to coordinate multiple projects simultaneously, meet deadlines despite often interruptions, maintain confidentiality, keep accurate records and make independent decisions.

Shift/Salary/Benefits

Shift: Days/M-F

Pay Grade: 12

Salary: $15.06/hr - $19.58/hr

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
