Position Description
The Master of Medical Sciences in Global Health Delivery program offers education in bio-social research, program design, and management that students need to become leaders in the emerging field of global health delivery.

Reporting to the Associate Director of Education Programs, the Program Coordinator is responsible for all administrative aspects of this two-year program, including communications and marketing, recruitment, admissions, enrollment, student affairs, graduation course management/curriculum, delivery and oversight; financial support; program policy adherence; reporting and special projects. The Program Coordinator is also responsible for all aspects of the Essentials of the Profession Social Medicine courses.

Communications and Marketing
 
  • Serves as the primary point of contact both internally and externally for the Program.
  • Develops marketing materials and maintains websites.
  • Reviews marketing strategies with Faculty Directors of the Program and the Associate Director.
  • Organizes the program information sessions.
  • Responsible for the planning and execution of events including but not limited to: logistics, serving as primary contact for speakers, arranging for speaker travel.
  • Coordinates monthly meetings with Faculty Directors and Associate Director of Education.

Recruiting, Admissions, Enrollment, Student Affairs, and Graduation
 
  • Manages all aspects of program admissions including marketing and recruitment, serving as primary contact for applicants to ensure that applications are complete. Organizes admissions committee meetings and responsible for taking minutes. Coordinates with the Graduate Education Admissions team on acceptance letters and other communication.
  • Serves as primary contact with Registrar’s office to ensure students are properly registered and ensures students meet all requirements for graduation.
  • Acts as the primary liaison for students, providing counsel and advice, coordinating problem- solving with co-directors and faculty.
  • Plans orientation events and is responsible for onboarding students.
  • Responds to student inquiries in a timely manner.

Course Management/Curriculum Delivery and Oversight
  • Assists in the design of the course curriculum and prepares required paperwork for courses.
  • Organizes programmatic committee meetings including steering and admissions committees. Participates in the periodic external advisory committee visits and prepares required reports.
  • Reviews course materials and secures guest lecturers for the programs.
  • Prepares Canvas website for courses.
  • Secures teaching dates and schedules room for courses each semester.
  • Assists in the preparation and running of in-person, online, and hybrid events.
  • Acts as the primary contact for room reservations, AV services, and catering.
  • Recruits faculty tutors for the HMS MD Essentials course.

Financial Management
  • Assists the Associate Director with the management of the budget, scholarship funds, and prepares paperwork to ensure payments are made in a timely manner.

Program Policy Development, Adherence and Reporting
  • Prepares the program’s student handbook, including program-specific policies and procedures. Ensures students and faculty are aware of the policies. Maintains records for program on courses, students, alumni, and faculty.
  • Maintains long-term, positive contact with alumni and tracks career choices and progress.

Special Projects
  • Manages, facilitates, and executes special projects as needed.
Basic Qualifications
4 or more years of experience. Higher education may count towards experience.
Additional Qualifications and Skills
  • Master’s degree preferred.
  • Experience in an academic setting working with trainees or students.
  • Excellent organizational and communication skills.
  • Able to deal with confidential and sensitive information.
  • Able to work independently and collaborate with others.
  • Ability to manage concurrent projects and multiple priorities.
  • High degree of flexibility and adaptability.
  • Proficient in Microsoft Office.
  • Knowledge of and/or experience with science or the research environment helpful.
  • Must be able to work on site three or more days per week.
Additional Information
This is a two-year term position from the date of hire, with the possibility of extension, contingent upon work performance and continued funding to support the position.
