College/Department Information
The Division of Information Technology is the backbone of Augusta University. IT manages all Augusta University systems, networks, data, and applications while safeguarding our digital information. IT strives to provide stable, reliable, and secure IT access for students, faculty, staff, clinicians, patients, researchers, and visitors. As the central IT service provider for Augusta University and many of AU Health's IT services, IT is responsible for Augusta University's most critical IT resources including the wired and wireless network; email, telephone, and online collaboration services; information security; software licensing; and a host of other systems and applications.
Job Summary
The Administrative Assistant I position will provide executive level support to the Assistant Vice Presidents of the Augusta University (AU) Information Technology Department. The incumbent will serve as a functional administrator for policy processes, scheduling, and Information Technology. The Administrative Assistant will play an essential part in streamlining processes with automated solutions for both internal and external customers. This individual will work as an integral part in supporting the Information Technology Department.
Responsibilities
The duties include, but are not limited to:
DAILY CLERICAL TASKS: Performs a variety of secretarial/clerical duties to include: Coordinate schedules, meetings, and provide support to the Information Technology leadership team as required; Receives, reviews, and routes mail; Composition of correspondence, reports, and charts; Generate reports; Maintain files & records; Attend meetings, create agendas, and take minutes; Assist with conference room requests.
CUSTOMER SERVICE: Provide customer service to departmental staff and other internal/external customers to include, but not limited to screening visitors, answering the telephone, moving requests, and key requests.
COORDINATE EVENTS: Coordinate department events including monthly conferences, meetings, research seminars, and other special events.
PURCHASING AND INVENTORY: Assists in purchasing of department supplies and inventories. Tracks status, orders, purchases, and maintains or distributes as needed.
TRAVEL: Assist with travel arrangements.
OTHER: Perform other related duties as assigned.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years' progressively responsible experience in administrative support positions OR High School diploma, GED equivalent from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions.
Preferred Qualifications
Experience in a higher education setting. Experience with billing, purchasing and travel concepts.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient with the Microsoft Office Suite: Outlook, Excel, Word.
Familiarity with Adobe Acrobat (using and modifying PDF documents) is recommended.
SKILLS
Strong critical thinking skills, strong sense of initiative, and be able to prioritize and multi task in a fast paced, high pressure environment.
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to use standard office equipment including multi-functional printers.
Ability to maintain confidentiality.
Ability to write reports, prepare business letters, emails, and summaries with proper format, punctuation, spelling, and grammar.
Develop and maintain effective working relationships, while providing effective and responsive service to the department and customers.
Shift/Salary/Benefits
Shift: Days; Monday - Friday
Salary: $15.00/hr - $17.03/hr
Pay Grade: 10
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
