Job Summary
Key administrative support for the International and Postdoctoral Services Office. Provide support for Sunapsis online case management system. Manage outer office and reception area. Support professional staff and communicate directly with all clients in person, via phone and electronic methods. Serve as backup Alternate Responsible Officer (ARO) and Designated School Official (DSO) for AU J-1 and F-1 programs.
Responsibilities
The duties include, but are not limited to:
ADMINISTRATIVE SUPPORT, MAINTAINING CALENDARS: Provides administrative support to four full-time professional staff. Maintains appointment calendars and schedules meetings with faculty, staff, students and external visitors. Answers phone, opens mail, copies documents. Communicates verbally and in writing with faculty, students, staff, departments, and other agencies as needed
MANAGING THE APPOINTMENT PROCESS FOR ALL POSTDOCTORAL FELLOW: Provides administrative support to activities related to the recruitment and retention of postdoctoral fellows. Maintains postdoctoral fellow personnel appointment files. Provides administrative support for the recruitment and hiring of postdoctoral fellows with hiring departments, Human Resources, and the deans offices of CAHS, MCG, DCG, and CON.
MAINTAINING IPSO WEBSITE, CREATING ELECTRONIC NEWSLETTERS: Maintains and updates office webpages. Communicates with the web team to maintain current knowledge of the technical aspects of OU Campus software. Designs and publishes electronic newsletters
PLANNING, PROMOTING, HOSTING EVENTS: Directs the planning, promoting, and hosting of on-campus and off-campus events designed to enhance the integration of new international students (e.g. international student orientations, International Friendship group, etc.) and other cultural programming as required by the Department of State J-1 program participation.
MAINTAINING PAPER AND ELECTRONIC FILES: Coordinates storage of files with Augusta Data Storage.
SUNAPSIS SUPPORT: Provides basic Sunapsis support to customers including running reports, sending emails about login issues, and scheduling training. Uploads scans of H-1B petitions to records before mailing and populates the Employment Summary screen with mailing date and other details. Uploads scans of receipt and approval notices from USCIS, EAD cards, etc., and sends notifications to clients (through Sunapsis) of these documents. Assists with scheduling and sending invitations for regular training for new Sunapsis users and Refresher training for current users.
DESIGNATED SCHOOL OFFICIAL AND ALTERNATE RESPONSIBLE OFFICER: Designated School Official and Alternate Responsible Officer backup
OTHER DUTIES: Perform other duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university with 2 years of progressively responsible administrative support experience; Or an Associate's degree from an accredited college or university with five years of directly applicable experience; Or a High School diploma, GED or equivalent from recognized State or Federal accrediting organization with eight years of directly applicable experience.
Preferred Qualifications
Graduate of an accredited College or University with a Bachelor's Degree. Experience working with non-native English-speaking clients and in multi-cultural environments. US citizenship or permanent residency is required for appointment as DSO and ARO.
Appointment as Alternate J-1 program Responsible Officer (ARO) and Designated School Official (DSO) by federal government authority.
Knowledge, Skills, & Abilities
KNOWLEDGE
Intercultural communications skills.
Working knowledge of MS Word, Excel, PowerPoint and webpage management systems.
Working knowledge of immigration regulations and Department of Labor regulations.
SKILLS
Excellent interpersonal, written, and verbal communication skills.
ABILITIES
Ability to maintain confidentiality.
Shift/Salary/Benefits
Shift: Monday-Friday (work outside of the normal business hours will likely be required of an employee in an exempt level position)
Pay Grade: 13
Salary Minimum: $33,670 - Midpoint: $45,455
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
