The Dental College of Georgia at Augusta University, we provide dental education to the next generation of professionals by offering hands-on education through innovative research, patient care, and service. Join other dental providers to improve the oral health of Georgia and beyond. The DCG was founded to provide the people of Georgia with quality dental care by educating students in dentistry. As a patient, you have the option to receive treatment in one of our three different practice models consisting of student clinics, resident care, or in the faculty practice. All dental treatments can be completed by the specialists in our facility. We also serve patients in more than 20 clinics across Georgia.

Job Summary

Manage and oversee the functions for all dental residency and fellowship programs (currently 8 residency programs and one fellowship program) in conjunction with the Advanced Education
Committee Chair. To include admissions, HR processing, Advanced Ed orientation, Employee Health scheduling, registration, program evaluation, Duty Hour management, core course management, accreditation, policy management, IT security system authorizer, graduation/certificate processing and annual coordination of resident recognition dinner.

Responsibilities

The duties include, but are not limited to:

MANAGEMENT OF APPLICATION PROCESS: Management of application process using PASS WebAdMIT, portal security authorizer for departmental WebAdMIT access, program level training and support on WebAdMIT. Create and maintain applicant web forms. Create and manage selection process by each program. Send out correspondence for accepted residents. Update and collect new resident program contracts Create resident files. Create new resident applicant and student records in Banner. Create and maintain resident new hire packets Verify and maintain USG required lawful presence records. Admit, process, and administer Banner, HRMS PeopleSoft records for DCG Residents, Army residents and VA residents. Management of all Dental Resident IT system requests in Service Now; serves as Resident security approver. Liaison between hospital and dental residents.

MANAGEMENT OF RESIDENT PROCESS: Management of daily, semester, semiannual and annual resident processes to include, but not limited to orientation, annual training, multiple application/system training, coordinate HR in processing, conduct Adv. Ed. Policy review, HIPPA, Radiation Use and Infection Control & Hazardous Materials, and ASEPSIS Training sessions. Core course scheduling; Class registration; Prepare and submit resident data reports and surveys; Process resident loan deferment forms, educational verifications, and request for duplicate certifications. Act as program back up in administrator's absence for these processes. Process reports, verify program fees, program reimbursement and registration report. Notify other offices of graduations and withdrawals.

MENTORING AND TRAINING: Mentor and train new and current program staff and residents on policies and procedures for Advanced Education programs. HR liaison for institution annual compliance training for all residents to include army residents. Enter resident epar transactions, submit PCFs, address payroll issues and verify monthly prepayroll reports. Resident contact for worker's comp, FMLA, leave time balances, policy violations and EEO matters. Train program staff and residents on software utilized for course and faculty evaluations and surveys and in POUNCE. Mentor and train new and current program staff and residents on policies and procedures for CODA, as it applies to accreditation standards. Assist staff with access and use of needed systems and software.

MANAGEMENT OF CODA ACCREDITATION PROCESS: Ongoing management of current, annual and seven year CODA accreditation processes for Advanced Education programs, to include primary contact for site visit correspondence, record retention of former site visit materials and self-study reports, online and printed accreditation notices, semiannual and annual program surveys, MOU's, affiliation agreements, and institution surveys. Provide program and departments resident statistical data as needed. Assist program administrators with document retention for CODA standards. Review all program data prior to submission for accuracy.

MANAGING AND UPDATING OF ONLINE PROGRAMS: Annual updating of the institutional online catalog pages for Advanced Education and each individual advanced education program. Yearly updates to eight program profiles for ADEA. Liaison for the Georgia Board of Dentistry for graduate licensing correspondence, for GDA resident demographic data requests and vendors.

ADMINISTER ALL RECORD UPDATES:Advanced Education liaison for the Registrar's Office, Financial Aid, International Services Office, Campus Business Office, etc. Primary source reference for resident alumni educational records. Obtain and maintain dental resident NPI number, dental license information and DEA number records.

OFFICE MANAGEMENT: Daily office coordination of advanced education programs. Management of Advanced Education Outlook activity. Provide program statistical data as needed. Act as back up to Academic Affairs Office as needed.

OTHER DUTIES: Perform other duties as assigned.

Required Qualifications

Associate's degree with seven years of experience in a university setting.

OR

Bachelor's degree with five years of experience in a university setting.

Knowledge, Skills, & Abilities

KNOWLEDGE
Proficiency with windows operating system and Microsoft office components (Word, Excel, PowerPoint, and Publisher)
Proficiency with Banner and Crystal Reports

SKILLS
Networking skills with the ability to effectively communication, both written and verbally, to foster cooperation with other on and off campus.
Proven organizational skills and attention to detail

ABILITIES
Ability to quickly learn additional software including, but not limited to One 45, OU Campus, PeopleSoft HRMS and PeopleSoft Financials.
The ability to perform well under pressure and meet deadlines
The ability to proof read various type of documents (i.e. accreditation, applications, loan deferment, etc.) to verify accuracy and completeness.
Self-motivated with ability to work independently
Initiative to determine what needs to be done and handle it
The ability to remain calm in stressful situations

Shift/Salary/Benefits

Shift: Days/M-F (Work outside of normal business hours may be required)

Pay Grade: 16

Salary: Minimum $41,846/ annual - Midpoint: $56,492/annual

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum midpoint) of the position.
