The Women and Gender Advocacy Center provides programs and resources focusing on all genders, social justice, and interpersonal violence prevention. Additionally, the WGAC provides advocacy and support for victims of sexual violence, stalking, sexual harassment, relationship violence, and adult survivors of sexual assault. Our purpose is to provide a safe and affirming space for the students we serve at Colorado State University, while supporting systemic change to end all forms of oppression within our community. The WGAC reports to the Office of Inclusive Excellence.
Position Summary
The Office Manager in the Women and Gender Advocacy Center (WGAC) is a full-time, 12-month position reporting to the Director. The Office Manager contributes to the vision for daily operations and management of both WGAC physical locations on campus. This position is largely responsible for the office and financial operations of the center, ensuring that the office is stocked and presentable for guests/clients in our 2 locations on campus. The Office Manager is responsible for purchasing, room scheduling, and other administrative supports.

Required Job Qualifications
High School Diploma or GED required.
Two years of general clerical experience
Demonstrated commitment to diversity and social justice
Computing experience such as Microsoft Office Suites, web navigation, and internet applications.
Customer service experience
Evidence of strong organizational skills, attention to detail, and the ability to complete multiple tasks in a busy environment.
Preferred Job Qualifications
Experience working with Colorado State University systems and processes, such as Kuali, Oracle, and TMS
Experience working with a complex budget and account reconciliation.
Experience working with survivors of interpersonal violence.
Demonstrated direct experience and understanding working with and supporting diverse populations (i.e. race, ethnicity, gender, sexual orientation, class, religion, etc)
Ability to establish and maintain effective collaborative relationships with campus departments

Duty/Responsibility
In collaboration with leadership team, act as point of contact for payroll-related needs and functions within the office
Support with onboarding functions for new staff, both student and full-time, such as facilitating IT-related needs, ordering name tags and business cards, ordering furniture, organizing ergonomic assessments, etc.
Support WGAC and OIE administration with Student Diversity Programs and Services cluster all-student staff training
Responsible for managing and scheduling reception desk coverage in both WGAC locations
Work with advocacy staff to manage advocacy flow
Support with administrative hiring processes, including being on hiring committees within WGAC and OIE as administrative support

Coordinate office participation in program-related events both on and off campus.
Manages End of Year awards for the department, including coordinating with staff members to determine needs, communicating initiatives, managing information and recommendations, and overall recognition event implementation.
Provides support for the Office of Inclusive Excellence and other campus-wide projects through committee and special activities, including but not limited to LEAD, Summits, BBQ/Socials
Develop and maintain collaborative, supportive, and professional relationships within the Department, Division, and University

Job Duty Category Administration/Business and Office Management
Duty/Responsibility
Run daily operation at front desk of WGAC student services location; including, but not limited to, answering and transferring phones (including Victim Assistance Team hotline), greeting incoming visitors and offering hospitality, ensuring incoming clients receive intake forms, communicate with advocacy and counseling staff to connect with clients, taking phone messages, transferring WGAC’s main email messages, etc.
Responsible for taking detailed meeting minutes and uploading for staff access.
Coordinates department supply orders including researching and contacting vendors, negotiating and procuring quotes, generating purchase orders, purchasing, and working with CSU purchasing agents
Review and advise on vendor and service provider contracts and purchases
Create office and supply orders in Kuali through shop catalogue
Oversee the maintenance of copiers, scanners, computers, faxes, phones and other equipment within the department
Review, update and develop office policies and procedures.
Facilitate office assessments to identify and report on areas of continuous improvement and opportunities for development.
Scheduling meetings, meeting notifications, including room reservations for office operations
Manage logistics for programmatic event planning, including room reservations, hospitality functions, and other administrative support
Process deposits and payments, to and from event clients, campus partners, and service providers and maintain a central spreadsheet to determine total revenue distribution
Manages department listservs, including membership management, new listserv creation, technical troubleshooting, and providing listserv usage training/best practices for others.
Processing and creating documents for analysis of trends, customer satisfaction, or other organizational assessments to assist Leadership Team members with organizational business decisions.
Provides leadership and vision for two physical locations, troubleshoots and solves issues that could jeopardize confidentiality pursuant to C.R.S. § 13-90-107(k)(I)(II)
Makes operational decisions for two physical WGAC campus locations including equipment, services subscriptions, and policies
Coordinate with OIE administrative team around cell phone needs, such as change requests and accessory ordering
Support director in regular reconciling of all account revenues and expenses for four departmental accounts
Remain current about University policies, protocols and procedures related (but not limited to): leave management systems, student staff payroll, The Lory Student Center, etc.
Serves on department search committees as member and/or administrative support, as requested.
Representing WGAC in administrative meetings and committees
Understand and follow university rules, regulations, policies and guidelines when committing department resources
Follow and support established financial processes, procedures and reports that comply with University and state policies and procedures to ensure sound fiscal management for the department
