College/Department Information

The Controller's Division Missions are: Account for all financial resources and provide advice to administrators, faculty, and students to support the University's overall mission of instruction, research, and healthcare services; Manage the investment of all University funds to ensure maximization return on investments; Receive and deposit all funds due to the University in a timely manner; Ensure compliance with both internal and external regulations, policies and procedures; Maintain and process the University payroll, accounts payable, and travel disbursements efficiently, accurately, and timely; Prepare financial and statistical information to the University management, federal and state agencies, and other interested parties; Maintain the University's accounting and financial reporting systems.

Job Summary

This position has various responsibilities related to payroll processing for Augusta University. Duties include but not limited to assisting with all biweekly and monthly payrolls, ensure garnishments, common remitter, general university deductions and payments are processed timely and accurately in coordination with Shared Service Center. Serves as the Time and Absence point of contact, ensures all time and absences are approved timely. Monitors, reviews and responds to Service Now Tickets. Provides training to all University employees. Participates in testing with OneUSG when new processes are implemented.

Responsibilities

The duties include, but are not limited to:

Responsible for functions related to pay

Responsible for functions related to paying hourly and salaried employees, which includes but is not limited to: running queries weekly to ensure time and absences are approved timely. Contacting managers and time approvers when time is not approved by the deadline or if an employee has a missed punch that has not been corrected.

Responsible for sending out approval reminders

Responsible for sending out approval reminders for upcoming payroll processing deadlines.

Responsible for providing training

Responsible for providing training to the University employees on payroll procedures as needed.

Responsible for assisting in Payroll Processes

Responsible for assisting in Bi-weekly/Monthly/Off Cycle and Emergency Payroll Processes.

Responsible for uploading/entering benefit adjustments

Responsible for uploading/entering benefit adjustments during payroll processing.

Responsible for running reports and updating

Responsible for running reports and updating the absence off cycle workbook for absences that were approved after the official payroll deadline and before the absence off cycle calendar closes.

Responsible for assisting the Payroll Director

Responsible for assisting the Payroll Director with mandatory User Acceptance Training that OneUSG implements when new updates and processes are being added.

Serves as point of contact for questions, issues and problem

Serves as point of contact for questions, issues and problem resolution for all monthly/biweekly employees.

Perform other duties as assigned by department leadership.

Required Qualifications

Educational Requirements

Associate's degree from an accredited college or university with 5 years of related business experience or Bachelor's degree from an accredited college or university with 2 years of related business experience.

Other Required Qualifications

Must also demonstrate excellent customer service skills, verbal and written communication skills, organizational and analytical skill.

Preferred Qualifications

Additional Preferred Qualifications

Degree from an accredited college or university in accounting, business or related field is desirable. Experience with PeopleSoft Human Resources / Payroll and Financials or other complex HR/Payroll and Financials information systems. Experience in a higher education or public employer setting. Social skills needed to relate with people at all levels of within the university, BOR and outside entities.

Intermediate skills in Microsoft Office and PeopleSoft HCM

High degree of accuracy and attention to detail.

Well organized, with ability to handle multiple priorities.

Shift/Salary/Benefits

Shift: Days/M-F (work outside of the normal business hours will likely be required of an employee in an exempt level position)

Pay Grade: 16

Salary: Minimum $36,197/Annually - $44,793.60/Annually

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
