This position administers correspondence with school districts, school personnel and students, placement of students, ongoing monitoring student field placements, and coordination with assigned faculty.

Job Function:

A crucial role in the function and operation of teacher preparation, the coordinator of Early Field Experiences will work closely with office leadership in the management of the field experiences for Ball State University. This position administers correspondence with school districts, school personnel and students, placement of students, ongoing monitoring student field placements, and coordination with assigned faculty.

Minimum Education:

Bachelor's degree or equivalent.

Minimum Experience:

At least one year of office or related experience; excellent communication skills.

Duties and Responsibilities:

  • Process all denied field experience and student teaching placement requests. This includes the submission of all required documentation to a second school based on office policy; update database to reflect changes.
  • Work in collaboration with OTES-CP Leadership during the entire field experience process. This includes, but is not limited to, attending regular meetings and provide status updates using appropriate communication.
  • Coordinate and process early field experiences at all levels. This includes, but is not limited to; creating digital contracts, coordinating placement requests, obtaining transcripts; maintaining the Tk-20 database and Excel databases; obtaining public school schedules; and contacting students regarding placement changes.
  • Advise and communicate with students and faculty regarding the field experience process. This includes providing updates on the status of placements and the eligibility of students.
  • Assist Tk20/database administrator in updating files to reflect changes in field experiences, placements, or school policies.
  • Promote field experiences through the publication of appropriate materials and speaking engagements to various groups on campus.
  • Provide direct communication with students, principals, superintendents, mentor teachers, and faculty on the field experience process.
  • Work to build and maintain collaborative relationships with district and school office staff.
  • Work with OTES-CP leadership to coordinate and confirm criminal background and EDURisk training checks for all early field placements each semester according to the TC background check policy and designated school administrative personnel.
  • Use Tk20/Excel/database to provide data for weekly, quarterly, and annual reports on field placements and other reporting needs as approved by the Director of OTES-CP.
  • Support the honorarium process and the Office Coordinator for the payment of classroom mentor teachers.
  • Assist with the supervision of student employees; assist with walk-in clients; answer phone as needed.
  • Provide field experience assistance as needed for faculty, department chairs, Dean's Office, and the OTES-CP leadership.
  • Maintain regular and predictable attendance.
  • Perform other duties as assigned.
