Job Description
Summary
The Assistant Coordinator, Academic Services provides essential administrative support to the Office of the Registrar. This role is responsible for maintaining the integrity and accuracy of permanent student records, overseeing document imaging processes, and assisting with front-line communications, including responding to general inquiries via phone and in person. The position also plays a key role in quality control reviews and supports the coordination of veteran educational benefit processes, ensuring compliance with institutional and regulatory standards.
Job Duties
- Serves as back up for general office procedures: answering the main registrar phone number, producing transcripts, producing letters of enrollment.
- Serves as up for School of Health Professions Grade Entry.
- Completes quality assurance checks for the elective registration process (reviewing course offerings, updating course catalogs, other related duties).
- Communicates policies and procedures to those providing and/or requesting information.
- Performs clerical duties such as typing, filing, mail sorting, etc.
- Verifies receipt of documents/records and follow up on any missing documents/records.
- Utilizes appropriate computer systems within the department to be able to process the workflow daily.
- Develops training materials and conducts training sessions on standards, processes and procedures.
- Cross trains with the Office of Student Financial Aid to assist with student inquiries and processes.
- Assists as needed with supporting students at both campus locations (Houston and Temple).
- Manages replacement/duplicate diploma orders.
- Assists with graduation preparation (scanning diplomas for recordkeeping, packaging diplomas for disbursement, other related duties).
- Performs other job-related duties as assigned.
Minimum Qualifications
- High School diploma or GED.
- No experience required.
Preferred Qualifications
- Bachelor's Degree
- Higher education experience.
- Image Now experience.
- Veteran Affairs benefit experience.
