Director of Academic Affairs Administration
The Director of Academic Affairs Administration is a key leadership support role within the Office of the Provost. This position requires exceptional judgment, discretion, and the ability to independently manage a broad range of responsibilities on behalf of the Provost Office. The Director is responsible for ensuring the efficient operation of the Academic Affairs division through high-level administrative coordination, academic event management, strategic project support, and proactive communication management.
Serving as a trusted advisor and operational partner to the Provost, the Director plays a critical role in advancing academic priorities, fostering cross-campus collaboration, and enhancing administrative excellence within the division. The role offers a unique opportunity to contribute to strategic planning, organizational effectiveness, and academic mission support at the highest level.
KEY RESPONSIBILITIES
Strategic and Administrative Operations
Oversee the daily administrative functions of the Office of the Provost, ensuring smooth
and effective operations.
Manage the Provost's calendar, prioritizing and scheduling complex engagements,
meetings, and campus obligations with a deep understanding of institutional priorities.
Serve as a primary point of contact and liaison between the Provost and internal/external
stakeholders, maintaining professionalism and confidentiality at all times.
Coordinate and support key Academic Affairs processes, including faculty affairs
workflows, academic planning, and policy implementation.
Project and Initiative Management
Manage timelines and deliverables for strategic academic initiatives and special projects
led by the Provost.
Support meeting preparation and follow-up for the Provost's leadership councils,
institutional committees, and Board-related briefings.
Track progress on divisional goals, ensuring alignment with institutional priorities and
timely communication of outcomes.
Event Management and Promotion
Plan, manage, and promote major Academic Affairs events, including faculty forums,
symposia, recognition ceremonies, and strategic launch events.
Maintain and coordinate the Academic Affairs events calendar, ensuring alignment with
the institutional calendar and avoiding conflicts.
Collaborate with Communications, Events, and academic departments to ensure high-
quality event planning, visibility, and execution.
Communication and Liaison Functions
Draft, edit, and manage internal and external communications on behalf of the Provost,
including announcements, reports, and presentations.
Serve as liaison to the President's Office, Faculty Senate, Deans, and other senior leaders
to support collaborative academic governance and communication flow.
Provide information management support by maintaining accurate records,
documentation, and correspondence.
Operational Support and Process Improvement
Partner with the Director of Budget and Planning (Academic Affairs) to monitor
divisional budgets, track resource use, and support academic financial planning.
Identify and implement improvements in administrative systems, cross-functional
coordination, and internal workflows across the division.
Provide informal supervision, mentorship, and guidance to administrative support staff
within Academic Affairs as needed.
Requirements
Education:
REQUIRED: BA in business administration, communication, or related discipline
PREFERRED: Master's degree (e.g., MPA, MBA, MA in Higher Education or Organizational Leadership).
Experience: (years required and applicable field of experience): Minimum of 7 years of progressively responsible administrative or operational experience, including direct support to senior or executive-level leadership.
Skills/Abilities: (e.g. computer skills, written & verbal skills, trades, laws, procedures, technical)
Salary Description 70,000 - 80,000
