Job Description

SUPERVISORY AUTHORITY:

Non-supervisory experience. Candidate will report to the Director of Faculty, Kimberly Pennamon.

NATURE AND SCOPE:

Internal contacts include faculty, administrative staff, and students. External contacts include numerous law affiliated institutions, agencies, organizations, and embassies.

PRINCIPAL ACCOUNTABILITIES:

· Prepares communications such as scholarly works, manuscripts, course syllabi, examinations, memoranda, letters, forms, reports and other documents as required and/or requested by faculty.

· Implements the final examination system, preparing, administering, collecting, and accounting for all test materials.

· Prepares all documents for and performs accountability of all test control materials.

· Transcribes speeches, grievance hearings, and minutes.

· Prepares communications and letters of recommendation for student placements for jobs and internships. As needed.

· Coordinates travel schedules, lodging accommodations and ground transportation for faculty travel arrangements.

· Places, receives and screens incoming telephone calls and makes referrals.

· Preforms duplicating services as requested. Receives, sorts, redistributes incoming correspondence to faculty, student organizations and certain staff offices.

· Requisitions and maintains inventory of office supplies. Prepares office supplies requests for faculty, staff offices, and student organizations.

· Assists with packaging and special mailings for events, conferences and meetings for the law school.

· Organizes and maintains office files.

· Updates and maintains postage and travel accountability reports.

· Performs other related duties as assigned.

CORE COMPETENCIES:

· Knowledge of computer related databases, word processing, and other software applications.

· Skill in use of various office automated software, such as Microsoft Office products, recording technology and the like.

· Skill in communicating both oral and written English.

· Excellent interpersonal skills with the ability to exercise a high degree of accuracy, diplomacy, and confidentiality.

· Ability to interact with others using tact, good judgement and proper decorum

· Ability to represent the University in a professional and friendly manner.

· Ability handle tasks independently and to assist in other areas as necessary.

· Ability to maintain harmonious working relationship with staff, students, faculty and University officials and the public.

· Associate’s degree in Business Administration or closely related field preferred and two (2) years’ experience or equivalent combination of four (4) years of combined relevant training and experience.
