Job Summary
Under minimal supervision, responsible for planning, organizing, directing and/or controlling all aspects pertaining to administrative functions of assigned department’s internal and external customer service, staff management and financial management operations pertaining to areas including (but not limited to) data/records maintenance, supply management, transcribing/dictation, word processing, telecommunications, office equipment maintenance, and office support. Acts as a catalyst between the department and its customers and staff to ensure continuity and quality of service and care.

The ideal candidate is a proactive self-starter who demonstrates a strong willingness to learn. This individual is capable of training colleagues on financial processes, while maintaining a high level of organization, accuracy, and attention to detail.

Regarding the education requirements: 1 year of education can be substituted for 1 year of related work experience
Masters degree not required
2-3 years of financial office experience, payroll experience, and RPT (Retention, Promotion, and Tenure) experience.


Responsibilities

• Process Pay agreements and monitor payroll process.
• Ongoing financial and pay agreement training.
• Post staff and faculty position
• Onboard/Offboard Staff, setting-up training schedules
• Develop departmental training procedures and job distribution.
• Processes all faculty hiring documentation and process.
• Assists with faculty recruitment coordination may include but is not limited to schedule meetings, travel, and other expenditures.
• Assists with RPT process (faculty retention, promotion, tenure).
• The administrative matters regarding day-to-day operations and procedures for university department.
• Maintains Tuition Benefit Program (working with faculty & students, implement and keep up with requirements
• Provides administrative support to upper-level department management by scheduling appointments, coordinating meetings, conferences, retreats, and other department events.
• Maintain Personnel forms/personnel directory.
• Manages & prepares CAV reports.
• Processes Activity set-up with start-up funds
• Cross training and backup with front desk, and other areas as needed.

Minimum Qualifications
Bachelor’s degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four years of progressively more responsible management experience. Background knowledge of hiring department’s area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.
