Essential Functions
The Director of Enrollment Management Systems and Slate Captain provides functional leadership for Enrollment Management systems, Slate CRM governance, system optimization, data integrity, reporting, process design, user support, and continued system expansion in support of the University's enrollment goals. This position serves as the lead functional administrator and primary technical expert for Technolutions Slate CRM and works closely with Undergraduate Admissions, Undergraduate Recruiting, Dual Credit, the Welcome Center, Graduate Admissions, Communications and Marketing, the Registrar's Office, Information Technology, Student Affairs, and other campus partners. The position supervises assigned staff directly or indirectly, provides leadership over assigned cost-center responsibilities, and coordinates approved vendor and service-provider work related to Slate and Enrollment Management systems. The role strengthens enrollment operations by improving system use, documentation, access governance, reporting, and cross-functional processes while distinguishing Slate functional ownership from institution-wide IT architecture or final admissions policy authority.
Slate Administration and Technical Support
1. Serve as the lead functional administrator, primary technical expert, and Slate Captain for Technolutions Slate CRM.
2. Maintain comprehensive knowledge of Slate structures, tables, forms, data integrity practices, security, user profiles, access levels, and data flow across processes and units.
3. Train users and provide technical and functional support for local and baseline Slate processes.
4. Write and test SQL-supported Slate processes, analyze technical and functional issues, respond to ad hoc information requests, and develop written procedures for system processes.
5. Serve as the primary functional contact for SQL-supported Slate process design and related enrollment systems workflows.
6. Coordinate with outside vendors and system partners, including Common Application, ApplyTexas, CRM systems, Smartsheet, and other partners, to support approved configurations, vendor file processes, data exchange, and critical Enrollment Management workflows.
7. Design, configure, test, and implement Slate tools that support recruitment, application management, yield, communication, and enrollment operations.
Enrollment Systems Management and Optimization
8. Provide leadership for Enrollment Management systems, Slate projects, system governance, process design, and system optimization.
9. Oversee and document current and proposed operational processes that support data integrity for Slate, admissions applications, vendor files, Banner-related enrollment processes, and related Enrollment Management workflows in collaboration with the appropriate system owners.
10. Create, test, and maintain data imports and exports, including Common Application, ApplyTexas, Encoura, College Board, EAB, data sharing agreements with ISD and transfer partners, and other vendor files.
11. Work with users to monitor, integrate, automate, and troubleshoot Slate data transfers and develop operational reporting.
12. Build and maintain Slate-hosted applications, forms, portals, and related tools to support import, mapping, review, communication, reporting, and enrollment data processes.
13. Regularly assess Slate and related Enrollment Management systems and make strategic and operational improvement recommendations to Enrollment Management leadership.
14. Develop and maintain a roadmap for continued Slate expansion, optimization, training, documentation, and system adoption.
Data Integrity, Reporting, and Documentation
15. Maintain data integrity by developing, scheduling, and performing regular data audits, cleanup projects, and quality-control reviews.
16. Respond to ad hoc information requests related to Slate, admissions, recruitment, enrollment operations, and enrollment system processes.
17. Develop and maintain written procedures for Slate processes, reporting, data transfers, access governance, user support, and system workflows.
18. Prepare reports, data summaries, dashboards, and system documentation to support Enrollment Management operations, leadership review, process improvement, and data-informed decisions.
Slate Governance and System Access
19. Develop and maintain a Slate governance structure that supports information security, appropriate system access, consistent practices, and functional accountability within Enrollment Management.
20. Develop and maintain system access governance for Slate users and related Enrollment Management systems in alignment with institutional security expectations.
21. Co-manage internal and external Slate user accounts, roles, permissions, and access reviews in support of governance and security.
Project Leadership and Cross Departmental Coordination
22. Lead project management and planning related to Slate implementation, optimization, continued expansion, training, documentation, and process improvement.
23. Develop project timelines, evaluate project effectiveness, and help create the annual Enrollment Management systems and technology timeline.
24. Serve on the Enrollment Management Leadership Team and represent Slate and Enrollment Management systems needs in leadership discussions.
25. Serve as the primary Enrollment Management liaison with Information Technology, Institutional Effectiveness, Academic Affairs, Finance, and other departments for business needs related to Slate and related enrollment systems.
26. Lead or participate in cross-departmental projects related to Slate, Enrollment Management systems, admissions operations, system-enabled student services, and related process improvements.
27. Provide support to Enrollment Management and Student Affairs leadership on changes and innovations that improve student services and enrollment operations.
Staff Supervision, Training, User Support, and Cost-Center Leadership
28. Supervise directly and indirectly assigned staff responsible for Enrollment Management systems, including Slate, by assigning work, setting expectations, monitoring work quality, providing guidance, and supporting performance feedback through established University processes.
29. Coordinate and provide timely staff and user training for effective Slate use, reporting, documentation, access governance, and consistent process execution.
30. Serve as a Slate resource for users across the University, including Communications and Marketing, Information Technology, Academic Advising, Alumni Engagement, Student Engagement, Athletics, Dual Credit, and other units using or affected by Slate processes.
31. Coordinate with approved vendors and contracted service providers related to Slate or Enrollment Management systems, support implementation of approved service scopes, and route procurement, contract approval, or budget approval matters through established University channels.
32. Provide leadership over assigned cost-center responsibilities by monitoring system-related needs, supporting budget planning information, tracking approved expenditures, and escalating final budget decisions through established University channels.

Required Qualifications
1. Master's degree from an accredited college or university.
2. Three (3) years of experience with Technolutions Slate CRM or comparable higher education CRM administration.
3. Experience managing or supervising full-time staff, including assigning work, monitoring performance or work quality, and providing training or guidance.
4. Experience supporting enrollment systems, admissions operations, student information systems, data imports and exports, reporting, or system process improvement.
5. Experience developing documentation, procedures, training materials, reports, or process workflows for system users.
Preferred Qualifications
1. Five (5) years of related work experience with Slate or other higher education admissions systems and software.
2. Experience working in college admissions, enrollment operations, or enrollment systems in a leadership position.
3. Experience with HTML, SQL, Slate query tools, portals, forms, rules, communications, or related technical configuration.
4. Experience with PeopleSoft Student Information System, Banner, or comparable student information systems.
5. Proficiency with Microsoft Office applications, including Outlook, Word, and Excel.
6. Experience using reporting tools, dashboards, or data visualization tools to analyze, summarize, or present enrollment data.
7. Experience coordinating vendor files, CRM integrations, application imports, or data sharing processes involving Common Application, ApplyTexas, Encoura, College Board, EAB, or similar partners.

Schedule
Generally, the normal work hours for the university are Monday through Thursday, 7:30 - 5:30 pm; Friday, 8:00 am - 12:00 pm with a one-hour lunch. The individual holding this position may need to be available early morning, evening, and on weekends to meet the needs of the department. Hours worked may differ with some departments.
Standard Working Conditions
