Job Summary
The Business Operations Specialist provides operational, fiscal, and administrative support to the Office of the Vice President for Human Resources. The position serves as a key operational partner to the Vice President and supports the effective coordination of HR business operations, strategic initiatives, projects, financial activities, executive scheduling, and office priorities.
Working independently and with discretion, the Business Operations Specialist coordinates competing priorities, monitors budgets and expenditures, manages executive-level scheduling and logistics, tracks projects and deliverables, and facilitates communication and follow-up across Human Resources and the university. The position serves as a primary point of coordination for matters directed to the Office of the Vice President and exercises judgment in determining appropriate routing, response, prioritization, and escalation.
The position regularly handles sensitive and confidential information and interacts with executive leadership, faculty, staff, HR professionals, university departments, and external stakeholders. The Business Operations Specialist is expected to provide exceptional customer-centered service while supporting the mission, vision, values, and strategic priorities of Augusta University and Human Resources.
Responsibilities
The responsibilities include, but are not limited to:
Business Operations & Executive Office Coordination
Coordinate the day-to-day business and administrative operations of the Office of the Vice President for Human Resources. Serve as a key operational partner to the VP and HR leadership team to support HR's strategic priorities and effective delivery of services. Independently organize and prioritize workflow, coordinate activities and deadlines, identify operational needs, and resolve routine business and administrative issues within established authority. Facilitate coordination between the VP's office, HR functional areas, university leadership, and other internal and external stakeholders.
Budget & Financial Administration
Coordinate and monitor assigned HR operating, personnel, supply, and travel budgets. Track expenditures and available balances, reconcile transactions, prepare budget reports and projections, identify discrepancies or potential funding concerns, and coordinate appropriate corrective action. Review expenditures and transactions for completeness, appropriate funding, and compliance with university requirements. Provide budget information and recommendations to the VP to support resource planning and decision-making.
Project & Strategic Initiative Coordination
Coordinate HR projects, strategic initiatives, and special assignments on behalf of the VP. Develop and maintain project schedules, track milestones, deliverables, decisions, and action items, and follow up with responsible parties to ensure commitments and deadlines are met. Identify risks, delays, or unresolved matters and determine when escalation to the VP or other HR leadership is appropriate. Prepare reports, presentations, executive summaries, correspondence, and other materials supporting HR initiatives.
Executive Calendar & Priority Management
Manage the VP's complex calendar and associated business priorities. Exercise judgment in evaluating meeting requests, resolving scheduling conflicts, determining relative urgency and priority, coordinating with senior university officials and external stakeholders, and ensuring the VP is appropriately prepared for meetings and commitments. Anticipate scheduling and logistical needs and adjust priorities in response to changing organizational demands.
HR Office Coordination & Issue Triage
Serve as a primary point of coordination for inquiries directed to the Office of the Vice President for Human Resources. Assess the nature, urgency, confidentiality, and appropriate disposition of requests and independently determine whether matters should be routed to an HR functional area or elevated to the VP. Coordinate responses and follow-up to promote timely resolution and high-quality customer service. Handle sensitive and confidential information with appropriate discretion.
Required Qualifications
Bachelor's degree from an accredited college or university in Business Administration or a related discipline & 1 year administrative and/or management experience
OR
Associate's degree from an accredited college or university and 2 years of relevant experience
OR
High School diploma, GED or equivalent from a recognized State or Federal accrediting organization and 3 years administrative and fiscal management experience
Preferred Qualifications
Bachelor's degree from an accredited college or university and two years of administrative management or office management experience.
Experience in a complex research university with an academic medical center.
Experience in the University System of Georgia and/or HR in state government.
Knowledge, Skills, & Abilities

Strong attention to detail and ability to maintain confidentiality.
KNOWLEDGE
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with HRIS systems.

Shift/Salary/Benefits
Shift: Days/M-F (work outside of normal business hours will likely be required of an employee in an exempt level position)
Pay Grade: B10
Salary minimum: $52,500.00
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position

Conditions of Employment
