Summary
The Division of Public Safety and Security (DPSS) Department of Michigan Medicine Security seeks an Administrative Assistant Senior. Reporting to the Administrative Specialist, your duties may include confidential administrative duties requiring the ability to exercise discretion and independent judgment. You will schedule and maintain calendar appointments and meetings; prepare correspondence, memoranda, reports, and triage phone calls; track projects and ensure completion of action items; maintain confidential files and drafts; edit and proofread reports.

This position is located at Michigan Medicine Security, located at 1500 E. Medical Center Dr. Med Inn Building and your typical schedule will be Monday-Friday, 8 a.m. to 4:30 p.m.

Responsibilities*
Schedule and maintain calendars of appointments and meetings
Take meeting minutes (including some DPSS committees), and track tasks
Provide primary support for the administrative specialist and other Michigan Medicine staff
Prepare correspondence
Proof and review staff correspondence, newsletters, and briefings for content and format
Handle travel, meeting and conference logistics
Complete and process travel reimbursements and other transactional duties
Set up interviews and complete interview packets for hiring managers.
Maintain office supplies
Other responsibilities as assigned
Required Qualifications*
High school diploma or GED
At least 4 years of progressively responsible administrative support experience
Experience listening and communicating confidentially and collaboratively with leadership, senior administrators, and internal and external community members
Demonstrated experience managing multiple projects and deadlines
Demonstrated experience supporting multiple members of leadership
Proficiency with MS Office (Outlook, Word, Excel, and PowerPoint) and Google suite (documents and calendars).
You have previous experience anticipating support needs and working in a confidential environment
Additional Information
All members of the Division of Public Safety and Security (DPSS) are considered Campus Security Authorities (CSAs) under The Jeanne Clery Disclosure of Campus Security Policy and Campus Crime Statistics Act.

As such, you are required to report Clery reportable offenses that come to your attention. DPSS employees are required to complete Clery Compliance Training within the first 14 days of employment and annually thereafter.
