Summary

The School of Medicine's Curriculum Office is seeking a Coordinator, Program Management who will provide support to Curriculum Dean's and Directors by assisting with various administrative duties. This position requires the knowledge of administrative functions, excellent communication skills and analytical thinking as well as the ability to think and act quickly and maintain composure. This position will serve as a key front-line role by providing exemplary customer service to faculty, staff and learners within the School of Medicine and the successful candidates should be a responsible, motivated, and forward-thinking individuals with excellent communication skills.

 

This role will require the following: Professionalism, exceptional customer service skills, ability to work in a team environment, good oral and written skills, and ability to multi-task.

Job Duties

• Schedules and maintains the annual calendar for educational programing.
• Coordinates room reservations, and A/V needs.
• Receives and responds to all requests for information regarding program(s).
• Coordinates the day-to-day business and financial processes for the department through Concur and Jaggaer. This includes, monitoring financial activity by compiling, and reconciling financial purchases from faculty and staff; reviewing expenditures from fund sources to verify accuracy, need, and compliance with grant purchases and travel.
• Manages and executes the internal and external department communication in conjunction with Deans and Directors. This may include updating websites, collecting, and editing content.
• Schedules interviews on behalf of the hiring managers and supported faculty.

• Provides administrative support for the Deans or other faculty, including maintaining calendars, scheduling meetings, ordering supplies, preparing correspondence, answering phones, or greeting visitors.
     o Processes requests in Concur and SAP related to travel (trip requests and reimbursements), expense reconciliations and reimbursements for faculty and staff. Tracks through completion of request.
     o Places supplies and event orders to support programs and projects in the Department.
     o Processes payments as assigned, including but not limited to: stipends, vendor invoices, honorariums and supplemental pay. 
     o Submits new vendors and Independent Contract Agreements (ICA) requests, follow-up on process through completion.
• Responsible for arranging all event activities pertaining to orientation and annual symposium.
• Participates in planning and developing methods for program implementation and administration.
• May assist with onboarding faculty and staff and may serve as a committee/sub committee administrator.


 

Minimum Qualifications

  • High School diploma or GED.
  • Two years of relevant experience.

Preferred Qualifications

  • Bachelor's Degree.
  • Experience with project management software, Smart Sheet, Microsoft OneDrive and SharePoint.
  • Experience with Jaggaer, SAP, and Concur.
