Job Description
Responsibilities*
Project management (75%)
Manages development communication projects of varying complexity to ensure timeliness, proper use of resources, consistency, and high-quality standards are achieved, including donor proposals, multifaceted event assets, and campaign collateral.
Leads and facilitates kickoff meetings for new project requests. Gains a full understanding of project objectives, and analyzes, compares, and evaluates various courses of action.
Defines the components of each project, assembles project teams, and hires freelance designers or assigns design tasks to Communications team members.
Uses Microsoft Planner to create production schedules and manage timelines. Monitors progress and adherence to deadlines.
Evaluates and selects printing vendors, requesting quotes through the QTO system; manages vendor relationships.
Working closely with the senior director of development marketing and communications, prioritizes communications projects and helps other communications staff navigate logistics involved with those projects.
Regularly communicates the status of all projects to the development communications team and other stakeholders.
Develops and maintains systems, forms, and processes for the production of communications collateral, including budgets, vetting/approval policies, and project timelines.
Lead and facilitate weekly stand-up meetings with communications team members to review all projects.
Build strong relationships between internal and external stakeholders and the communications team.
Proofreading (15%)
Proofreads Medicine at Michigan articles.
Proofreads cases for support, impact reports, and other communications to ensure editorial and style standards are met.
Assists with internal communications when needed.
Operations (10%)
Provides support for the senior director of development marketing and communications, including coordinating calendar/meeting requests.
Creates monthly productivity reports.
Monitors monthly budget reports and bring to the senior director?s attention any questionable items.
Processes and tracks freelancer invoices for payment.
Replies or relays messages to the appropriate teammate that are sent to the MedDev Giving email.
PCard holder and responsible for departmental purchases, reconciling receipts, and submitting all necessary documentation to Shared Services for reconciliation.
Arranges travel for communications team members.
Required Qualifications*
Bachelor's degree.
At least two years of professional experience directly related to the duties of the position, preferably in an academic or health development office
Experience managing production of large-scale communications, including all related timelines and budgets
Experience managing multiple projects in a fast-paced deadline-oriented environment
Experience managing relationships with freelance writers, designers, print production houses, web developers and other related vendors
Ability to set/manage multiple priorities
Outstanding organizational skills and attention to detail
Outstanding editing and proofreading skills
Knowledge of the visual aspects of communications, including photography, graphic design and printing
Proficient in Microsoft Office, and the Adobe Creative Suite, including InDesign
Willingness to grow and pursue professional development related to new design concepts and approaches
A commitment to diversity, equity, and inclusion in the workplace
At least one day per week working in the Ann Arbor office
