Job Description

OU Testing Center Assistant helps oversee the daily operations of the testing center, ensuring exams are administered securely, efficiently, and in compliance with institutional and external regulations. This role involves staff supervision, policy enforcement, and operational improvements.

Essential Duties:

  • Responsible for providing leadership in the planning of test proctoring and exam administration, and oversight of the testing center space and equipment, facilitating test accommodations related to testing, and managing the test scheduling systems.
  • Maintains the day-to-day operations of the Testing Center.
  • Assists with the development and implementation of plans, develops, and coordinates testing program policies, procedures, schedules, and ensures adequate staffing for the administration of examinations.
  • Trains testing center workers: students, work-study personnel, or other department staff.
  • Monitors and maintains testing lab computers and other specialized equipment used in the testing lab.
  • Assists with scheduling exams, opening and/or closing procedures for the testing center office.
  • Provides high-quality customer service to staff, faculty, students, and visitors this includes answer calls, routing calls to appropriate areas, taking messages, responding to emails, and scheduling appointments.
  • Works closely with test providers and departments to maintain test materials, official correspondence, troubleshooting technical issues, grade posting, follow- up with advisors, and ensures score integrity.
  • Works closely with the Admissions, Records and Registration Office to maintain scoring and exam standards.
  • Establishes and maintains effective communication in partnership with the Center's Director with faculty, staff, and students.
  • Ensures that all test administration is carried out in compliance with the university policies, testing regulations, guidelines, and standards
  • Ensures accuracy and confidentiality in handling sensitive documents.
  • Assists in managing office schedules, appointments, inquiries, and staff schedules.
  • Provides assistance with testing accommodations and accessibility resources including assistance with enrollment in Coordinated Admission Program (CAP) classes.
  • Creates reports for tracking student enrollment, payroll, invoicing, and reporting revenue.
  • Ensures all questions and inquiries are handled promptly and provide any additional follow-up as needed.
  • Ensure all passwords, syllabus, exam dates, make-up exams, courses, and test schedules are kept up to date.
  • Collaborate with the Marketing department for updates to the testing center website.
  • Performs other duties as assigned.

Job Requirements

Required Education: Bachelor's degree in Business Administration, Education, Management, or related field, AND

  • 3 years of customer service experience or related area. Work experience with computer systems and applications on a computer.

Skills:

  • Strong knowledge of admissions, student services, or testing services.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to train staff and foster a collaborative work environment.
  • Proficient with MS Office (Word, Excel, PowerPoint, Access, Outlook) and HRIS systems.
  • Ability to read and interpret complex written records such as regulations and instructional materials to varied audiences.
  • Ability to work with and learn computer applications and testing protocols.
  • Ability to maintain the confidentiality of privileged and sensitive information with strong attention to detail.
  • Ability to maintain a professional, calm, and service-oriented demeanor during high-stress situations.

Certifications:

  • An association or membership with the National College Testing Association (NCTA) (Preferred).

Advertised Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer while sitting at a desk or table or while intermittently sitting, standing, or stooping.
  • Must be adaptable to performing under moderate levels of stress, imposed by frequent deadlines, increased workloads, and public or student contact.
